Need help getting some work done? Microsoft constantly releases new Office 365 features that can give you an edge over the pile of work on your computer. With some of the new Office 365 features, you can Skype over a document with your coworkers, plot charts into Excel with ease, and even sign for a document electronically with any device. So treat yourself and use these features to increase your productivity in the workplace.

Simultaneously edit a document with other people

With Office 365, people can work together on any Word, PowerPoint, or Excel document in real time. This means multiple people can edit a document and figure out what changes have been made and who made them.

So if your employees are still creating documents by themselves, sending them over to their coworkers by email, and silently waiting for a reply, then this Office 365 feature can help cut down on unnecessary email waiting time.

Skype over a document with your coworkers

In addition to being able to work together on a single document, you can also verbally discuss the edits over Skype. This application lets you talk to everyone who is working on the document with a simple click of a button. You can also keep talking to your coworkers even after you’ve left the Office document session.

Link to files, don’t attach them

Is the file you’re sending too big? With the business editor of Office 365, you won’t have to worry about compressing your documents before sending them over email. You can simply copy a link to the cloud file in your email and people with access to the link can immediately begin editing.

Let Bing find presentation images for you

Sometimes you just need that second opinion when you’re picking images for your presentation. That’s where Office Sway comes in. Basically, the application employs Bing image search to locate possible images that you can use for your presentation based on the words in the document.

Laser pointer mouse icon

Forgot your laser pointer on the day of your presentation? Simply go into presentation mode and hold Ctrl and the left mouse button to replace your cursor with a laser pointer.

Change your electronic scribbles into text

This OneNote feature allows you to convert your electronic scribbles into text in just a few steps. Simply choose the Lasso Select tool, circle the area you want edited, and click the Ink to Text option.

Electronic signatures

Printing out a document to sign it and then scanning it back to digital format is a bit outdated. With the Docusign app, you can set up your own electronic signature and sign documents easily from any device.

Create Excel charts with ease

Office 365 has built in new features that will allow Excel to better present and format your data. Simply select the cells that you would want in a graph or table, open the Quick Analysis tool, and pick how you would like to visually represent your information. Voila! Instant chart.

Turn data from Excel into a map

Provided that your data takes note of geographic locations, the Power Map feature can immediately distribute your recorded facts and figures over a 3D map.

Create and convert PDF Files

You have a variety of choices when it comes to creating PDF files from Word documents. Exporting your Word documents into PDF files can be done by going to File > Export > Create PDF/XPS. You also have the option of saving just a portion of a file by indicating the pages you want to be converted into a PDF.

On the other hand, if you would like to edit a PDF, just open the file as a Word document. From there, you can copy and edit any content, images, or diagrams.

If you’re one of the million-plus users taking advantage of Office 365’s premium productivity apps, you’ll soon notice some changes. Last June, Microsoft revealed that Outlook, Excel, PowerPoint, and Word will be getting a design revamp in the coming months. Here’s a preview of what’s to come.

Simplified ribbon

The biggest update is with the ribbon, which is a command bar at the top of a window. The new design now has a simpler, cleaner look that gives users the chance to customize the tools they work with most, simply by pinning apps or files to your Windows taskbar. Even though this new ribbon is designed with simplicity in mind, if you don’t find it helpful you can still revert back to the regular three-line view.

Some users may already be using this new ribbon in the online version of Word, while Outlook for Windows will receive it sometime this month. However, Microsoft disclosed that they aren’t yet ready to roll it out to PowerPoint, Word, and Excel for Windows.

Improved search option

One of the major changes is with the search option in Microsoft Office apps. The developers improved the search experience by using Microsoft graph, so users can now see search recommendations when they move their cursor to the search box. Some have already seen this update take effect, but it won’t be available for Outlook on the web until August.

Better colors and icons

To make the overall design more aesthetically pleasing, the colors and icons of every app have been revamped, too. They wanted a more modern look crisp and clean no matter the size of the user’s screen, which is why they employed scalable graphics. It first debuted on Word before appearing on Excel, PowerPoint, and Works for Windows last month. As for Outlook for Windows and Mac, users can expect the update later this summer.

Office 365 is constantly evolving to benefit subscribers. And to make things even more interesting, users will be chosen at random over the next several months to receive the updates, and Microsoft will gather their reviews to make further improvements. Co-creating new features with customers is something Microsoft truly believes in, so this isn’t simply a social media tactic.

 The functionality of Microsoft Office has yet to be beaten. And while it is known for its straightforward productivity, there are quite a few add-ins for your favorite Office application that just might improve your experience further. Whether you want to add a cool infographic to an Excel spreadsheet or need to set an Uber reminder from Outlook, here are four add-ins that can help change the way you use Office.

You probably use Microsoft Office on a daily basis but, if you aren’t utilizing plug-ins, you are missing out on a world of cool features that can improve your favorite applications. Microsoft calls them Office Add-ins, and they can be found in the Office Store. Log into your Microsoft account and download the Office Add-ins you want. After that, open the Office application the add-in is meant for. Once open, go to Insert > My Add-ins, and then pick the one you want. That’s it.

Of course, knowing how to do it is just the first step of the equation. You also have to know which add-ins are worth installing. If you are using Office 2013 or later, here are some of the add-ins you might want to check out.

People Graph

Excel is a great way to share numbers and vital data. However, your traditional spreadsheet can look a bit boring, and in particular it can fall short if you need certain figures to stand out. Apart from making them bold or larger, there aren’t a ton of options at your disposal. This is where People Graph comes in. If you need to sign a lot of documents, the process can be a complicated one. DocuSign removes all the hassles by letting you drag and drop your eSignature right there in Word. No longer will you have to print out a document, sign it, and then scan it back onto the computer. DocuSign also meets all legal standards when it comes to eSignatures, so security or validity won’t be an issue.

Uber Ride Reminder

Price: Free
Raise your hand if you’ve scheduled an Uber ride, only to then forget about it. Chances are there are a lot of hands in the air, ours included. With the Uber Ride Reminder add-in, you won’t have to worry about that happening again. When you schedule a ride, you can place it in your Outlook calendar, and also have the option to setup a mobile reminder from the add-in. New users of the add-in might even be eligible for a free ride, too!

Translator

If you work with bilingual clients, or simply want to quickly translate some text into another language, it normally involves a lot of copying and pasting from Word to an internet browser and back again. The Translator add-in cuts out the middle man, and lets you perform translations in over 40 languages right there in Word. While we can’t always vouch for the accuracy of the translations, it can at least help you get the gist of the message.
