If you want to keep everyone updated on each other’s assignments or improve your team’s productivity, sharing your calendar on Microsoft 365 is a must. In this article, we’ll take a look at how you can sync your schedules on different versions of Outlook.

Outlook on the web

If you have Microsoft 365 or another email service based on Microsoft Exchange Online, follow these steps to share your calendar:

  1. Open the Calendar by clicking on the calendar icon at the bottom of the page.
  2. Once you’re in Calendar, go to the toolbar at the top of the page. Click on Share and choose which calendar you want to share. Keep in mind that you can only share calendars you own and not other people’s.
  3. Indicate whom you want to share your calendar with by entering their email address or name.
  4. Select which activities recipients are permitted to perform on your calendar. You can choose from the following:
    • Can view when I’m busy ⁠– if you want the calendar to show when you’re busy but hide certain details
    • Can view titles and locations ⁠– if you want the calendar to indicate when you’re busy, as well as key details like an event’s title or location
    • Can view all details ⁠– if you want the calendar to reveal all details about an event
    • Can edit ⁠– if you want recipients to be able to modify your calendar
    • Delegate ⁠– if you want recipients to be able to alter your calendar and share it with other users
  5. To proceed, click on Share. If you change your mind, click on the Trash icon to cancel sharing your calendar.

Alternatively, you can publish your calendar and share it with others using a URL. Here’s how you do it:

  1. In Calendar, go to Settings and click View all Outlook settings.
  2. Select Shared calendars.
  3. Go to Publish a calendar and choose which calendar you want to publish and how much information is revealed to recipients.
  4. Click Publish.
  5. You will be given the choice between using an HTML or an ICS link. The HTML link can be used to view your calendar using a browser like Firefox or Google Chrome. An ICS link allows recipients to import your calendar and view it on their own Outlook calendar.

Outlook.com

Like Outlook on the web, Outlook.com allows you to share your calendar directly or publish it. The steps for sharing are exactly like those used in Outlook on the web, too, except you only have two options for how recipients can use your calendar. These are “Can view all details” and “Can edit.

Publishing your calendar on Outlook.com requires you to::

  1. Click on the calendar icon to open the Calendar view.
  2. In Calendar, go to Settings and click View all Outlook settings.
  3. Go to Calendar and select Shared calendars.
  4. In “Publish a calendar,” select which calendar you’re publishing and how much information it contains.
  5. Click Publish and choose to use either an HTML or ICS link.

Outlook on iOS and Android

If you’re using a mobile version of Outlook, these are the steps for sharing your calendar:

  1. On your Outlook app, click the hamburger button at the top-left corner and select Calendar.
  2. Go to Share and tap on Add People to indicate your calendar’s recipients.
  3. Input each recipient’s name or email address. Once you’re done, tap on the Check button at the top-right corner of the page.
  4. You will see a list of recipients. Tap on a name to edit their permissions and how much information they’re allowed to see. As with Outlook on the web, available options are “Can View,” “Can Edit,” “Delegate,” “Only When I’m Busy,” “Only Titles and Locations,” and “All Details.”
  5. To remove a user from your recipients, tap on Remove at the bottom of the page.
  6. After you’ve set permissions, tap on the Check button at the top-right corner of the page.

The award-winning productivity suite Microsoft 365 comes in several different packages to suit the budgets and needs of various types of businesses. Read on to learn which one is best for your company.

Information workers or frontline workers?

Microsoft 365 is the obvious choice if you’re running cloud-based business systems, but the main question is which suite will serve your needs best. Microsoft has packaged their Microsoft 365 offerings to fall under two types of bundles: Information Worker plans and Frontline Worker plans. Both of these plans will give you access to Office 365 and file hosting service OneDrive, but there are significant differences between the two.

Under the Information Worker suite, there are two Microsoft 365 plans you can customize as per your needs: E3 and E5. You can expand said suite with specific service sets your business needs, such as a standalone Office 365 system, Enterprise Mobility + Security tools, and even sets of the Windows 10 operating system. Meanwhile, the Frontline Worker suite (F1, F3, and F5) is more compact, with Office 365 F3 being the only available add-on.

Microsoft 365 E3 and E5 plans have unlimited archive and mail storage space. They also come with advanced analytics tools such as Delve, MyAnalytics, and PowerBI, all of which are unavailable on the Frontliner plans. Information Worker plans also include access management, threat protection, endpoint management, and other advanced tools absent in the Frontline Worker suite.

In terms of SharePoint, a collaborative platform and document and storage system, Frontline Worker plans are short on enterprise search, Excel services, and Visio — a diagramming and vector graphics app — features. Frontline Worker plans also do not have unified communications.

With these points in mind, it may seem like Information Worker subscriptions are superior — and in many ways, they are — but Frontline Worker plans are more suited for smaller companies running on a tight budget. Microsoft 365 F1 and F3 cost $2.25 and $8 per user per month, respectively, while Office 365 plans E1, E3, and E5 cost $8, $20, and $35 per user per month, respectively.

As a general rule, only consider subscribing to the Information Worker plans when your employee headcount exceeds 50 people and users require more storage space solutions and advanced analytics. Otherwise, Frontline Worker plans should suffice.

E3 or E5

Once you’ve decided to go for the Microsoft 365 Information Worker plans, you need to choose which plan (E3 or E5) suits your business requirements.

E3 offers basic solutions, such as Outlook, Word, OneNote, PowerPoint, and Excel for $32 per month. It also provides access to SharePoint Team sites, video conferencing, and Yammer for social media for businesses.

E5, on the other hand, provides all E3 features together with unified communications, PowerBI, Microsoft Defender, Application Guard, and Safe Documents. It also comes with more cloud security tools, risk-based conditional access, privileged identity management, and both automatic and machine learning-based sensitivity labels. E5 costs $57 per month.

Small- and medium-sized businesses often select E3 and subscribe to third-party applications for their cloud security and VoIP needs. But for more robust data management and security requirements, the E5 plan is the way to go.

People often have dozens of tabs open in their web browsers to access services that help them with work or catch up on social media. As a result, it’s difficult to keep track of all of them and get the information you need. Office 365 Groups solves this problem with Connectors, a new feature that lets you connect to third-party applications within the Outlook page. So if you want to declutter your taskbar, try out Connectors for your Groups.

What can it do?

Office 365 Connectors enable users to access third-party apps and services within their Outlook groups, rather than having to scour through dozens of tabs to access a specific application.

For example, your team members can be informed about a particular hashtag your company is following on Twitter without having to separately open the app. Groups aren’t limited to one particular service. With connectors, you can use Twitter, Trello, Mailchimp, Bing, UserVoice, and over 50 other services.

Small organizations can also take advantage of connectors. Office 365 lets you develop your own connectors by embedding the Connect to Office 365 button on your site. This allows users to connect to your service and get updates on your company, as they would with other third-party services. Your Office 365 client basically becomes a hub for third-party apps that keeps your company in sync to get more work done.

Connector card

Connector cards offer a user-friendly way to interact with external applications. If a particular connector is added to a Group, connector cards are generated within the group’s activity feed. While most cards will display events in plain text, some applications like Twitter and Trello provide formatted actions to interact with the card. Trello, for example, allows you to Assign or Comment on an event card.

Who can create a connector?

Office 365 Group members can configure and use a number of connectors. Once you configure a connector for a Group, that app will be also be available for other members. However, the person who added a connector to that Group is the only one who can modify that app.

How do you access Office 365 Connectors?

Any Office 365 Mail user can use Connectors for Groups. Simply navigate to a Group from your Outlook page and click on the Connectors tab at the top of the page. From here, you can connect the available third-party services on offer to any of your Outlook groups. You can even configure the settings of your apps without having to leave Office 365. Remember to pull in the applications that you think your group will be using the most.

Arranging meetings that work with everyone’s schedules is a pain — especially if participants don’t work in your office. A calendar that is easy to share publicly simplifies everything from scheduling calls with clients to quarterly meetings with business partners. Here’s how you can achieve that with Office 365.

Share an Office 365 calendar with specific people

Click the Share button from the Home menu along the top of your Office 365 calendar. This will open an email window where you can enter the addresses of people you want to see your calendar.

From that window, you can limit how much of your calendar they see by choosing from Availability Only, Limited Details, or Full Details. The latter two will show recipients the meeting names and participants of events on your calendar, whereas Availability Only will simply display scheduled events as Busy. After you’ve sent the invitation, recipients receive an email with a link to view your calendar in a web browser.

Make an Office 365 calendar public

If you’d prefer to have a link that you can share in a variety of channels whenever you’d like, click the Publish Online button from the Home menu along the top of your Office 365 calendar. From the dropdown menu, first click Publish This Calendar, then Configure This Published Calendar. This will create a link that you can give to collaborators outside your organization. As long as you don’t change your calendar’s visibility, they’ll be able to open that URL and view your availability.

Share your calendar so others can manage it

Users who have administrative control over their Office 365 calendar can set up special sharing settings that allow someone else to send and respond to invitations. From the Account Settings window, click on the Delegate Access button. This window lets you add or remove delegators and configure how much control they have over your calendar.

It can be overwhelming to have several windows pulled up to manage your email, company chats, and any cloud storage that isn’t compatible with your inbox. Microsoft Teams helps streamline the basic necessities of office work to help you overcome the tedium of multitasking.

The convenience of chat apps has enabled workers to cut down on time spent away from their workspace to quickly exchange information with colleagues. And work-related software isn’t just becoming more mobile, it’s also getting more user-friendly, with apps like Microsoft Teams bringing together several different platforms. Here’s how you can use that to your advantage:

Use SharePoint to store and share files

You might already be using SharePoint to store files and collaborate with your teammates. But did you know that in every Teams channel, you can click the Files tab to share files from SharePoint with team members? You can also access SharePoint files that are already shared in the channel and use Office Online or Office Desktop to collaborate on those files.

Forward emails into a channel

You get countless emails every day, many of which might be lost in your inboxes. Fortunately, Microsoft makes it easy to forward any email message from Outlook to a channel in Teams so they show up in both platforms. Just click the ellipsis next to any channel name and select Get email address. This generates an email address for the channel, which you can copy and use to forward files, documents, and messages.

Stick with a few groups

While you can create as many groups within your organization as you like, going overboard can result in a cluttered messaging interface that overwhelms team members. We recommend you create groups based on the number of projects and team members involved; you can always add more if necessary.

Set up audio conferencing

Teams lets you host voice meetings with groups or with just one team member. This is particularly useful when communicating with remote workers or clients, in which case you can give them guest access to your Teams channel. Guest access ensures they’re able to communicate, but unable to view private information.

Test communication strategies

Just because some of the features in Teams overlap with other Microsoft platforms, such as Yammer and Skype for Business, doesn’t mean they’re all redundant. Think of it as a chance to test different communication strategies to find out what works best for you. For instance, if most of your clients have a Skype ID, you can use Skype for client calls and Teams for internal calls.

Share conversations with new team members

Teams makes onboarding new hires easy. Rather than forwarding numerous emails and documents to new employees, you can use Teams to share past conversations and projects with them. This enables everyone to catch up without having to deal with cumbersome documents.

Microsoft Teams and other Office solutions are equipped with plenty of useful features that can take some time to master. If you’re one of the million-plus users taking advantage of Office 365’s premium productivity apps, you’ll soon notice some changes. Last June, Microsoft revealed that Outlook, Excel, PowerPoint, and Word will be getting a design revamp in the coming months. Here’s a preview of what’s to come.

Simplified ribbon

The biggest update is with the ribbon, which is a command bar at the top of a window. The new design now has a simpler, cleaner look that gives users the chance to customize the tools they work with most, simply by pinning apps or files to your Windows taskbar. Even though this new ribbon is designed with simplicity in mind, if you don’t find it helpful you can still revert back to the regular three-line view.

Some users may already be using this new ribbon in the online version of Word, while Outlook for Windows will receive it sometime this month. However, Microsoft disclosed that they aren’t yet ready to roll it out to PowerPoint, Word, and Excel for Windows.

Improved search option

One of the major changes is with the search option in Microsoft Office apps. The developers improved the search experience by using Microsoft graph, so users can now see search recommendations when they move their cursor to the search box. Some have already seen this update take effect, but it won’t be available for Outlook on the web until August.

Better colors and icons

To make the overall design more aesthetically pleasing, the colors and icons of every app have been revamped, too. They wanted a more modern look crisp and clean no matter the size of the user’s screen, which is why they employed scalable graphics. It first debuted on Word before appearing on Excel, PowerPoint, and Works for Windows last month. As for Outlook for Windows and Mac, users can expect the update later this summer.

Office 365 is constantly evolving to benefit subscribers. And to make things even more interesting, users will be chosen at random over the next several months to receive the updates, and Microsoft will gather their reviews to make further improvements. Lately, Microsoft has given some love to Outlook — not just the desktop app, but also the web and app versions. In fact, they just released a bunch of new and improved features. Let’s take a look.

#1 RSVP
Outlook makes it fairly simple to invite people to a meeting, but now it will also keep tabs on who’s coming. Just click the new “Tracking” option under “Meeting Occurrence” and see who has committed to the meeting and who hasn’t. RSVP isn’t just available for the meeting organizer, but the attendees, too.

#2 Multiple time zones
Traveling internationally and trying to sync appointments on different continents? Not fun. But now you can set up event start times and end times across different zones.

Outlook now allows you to show multiple time zones – three within Windows, and one within Outlook for Mac. In Outlook for Windows, add one by clicking File > Options > Calendar Time Zones and clicking “Show a second time zone”. In Mac, add one additional time zone under Outlook > Preferences > Calendar Time Zones. For Outlook on the web, click the “Time Zone” drop-down arrow in your Calendar meeting invite to add an additional time zone.

#3 BCC warning
If you’re on the receiving end of a blind carbon copy (bcc) email, that means the other recipients didn’t know you were copied on it. In Outlook for Windows, you’ll now get an alert if you attempt to reply to that message, such as “You were bcc’d, so perhaps you should reply only to the sender?” That way you’ll remain anonymous.

#4 Office Lens for Android
If you use Outlook for Android, the app will integrate the Microsoft Office Lens feature.
When that happens, you can tap the photo icon while composing a message, then take a snapshot of a whiteboard, document, photo or the like. Outlook will optimize it and then embed it into the email.

#5 Bill-pay reminders
What about your bills? Outlook will identify them in your inbox, show you a summary card at the top of your email each day, send an email to remind you two days before the due date, and automatically add an event to your calendar so you don’t forget to pay on the actual day.

Some may prioritize business analytics, while others may be content with no more than the productivity suite and Outlook. If you’re planning to deploy Office 365, first consider your business needs, then use the information below to find out which license is right for you.

Business or Enterprise?
If you’re running a cloud-first business, you’ll have to decide between Office 365 Business and Enterprise. Both may have access to Office Online and OneDrive, but there are some notable differences between the plan.

For one, Office 365 Enterprise E3 and E5 plans have unlimited archive and mail storage space, while Business plans have a 50-GB storage limit and don’t provide archive access from the Outlook client.

When it comes to SharePoint, Business plans are short on enterprise search, Excel services, and Visio features. Additionally, unified communication solutions, Power BI, and Delve analytics are also missing from the Office 365 Business offering.

Although it may seem like Enterprise subscriptions are superior — and in some ways they are — Business plans are perfect for smaller companies running on a tight budget. Office 365 Business and Business Premium cost $10 and $15 per user per month respectively, while E5, the biggest Enterprise plan, costs $35 per user per month.

As a general rule, start looking for Enterprise plans when your employee headcount exceeds 50 people and users require more storage space and solutions.

E1, E3, or E5?
If you do opt for Office 365 Enterprise plans, you’ll have to examine the features and choose one of three plans (E1, E3, and E5) that suits your needs.

E1 offers basic enterprise solutions such as Outlook and Word, OneNote, PowerPoint, and Excel online for only $8 per user per month. Apart from this, users also get access to SharePoint Team sites, video conferencing, and Yammer for enterprise social media.

E3 provides all E1 features and adds data loss prevention, rights management, and encryption to ensure business security and compliance. While E5 is a full enterprise-grade solution with all the aforementioned features plus analytics tools, advanced threat protection, flexible Skype for Business conferencing, and unified communication solutions.

Small- and medium-sized enterprises will usually select either E1 or E3 subscriptions and decide to add third-party applications to meet cloud security and VoIP demands. But if you have the resources and prefer a fully-managed suite of Microsoft applications, E5 plans are the way to go.

Since its inception, Microsoft Outlook has always been an excellent communication tool. And now, with its recent update, it can do an even better job at helping people communicate with one another quickly and easily. Improved Contact Cards
One of the most welcome changes with the Outlook update is that the concept of the Contact Card has been greatly improved upon. In previous manifestations of Outlook, the information about contacts that was quickly available was limited to basic information such as name, phone number, and email address. With the new Outlook, Contact Cards can contain a person’s job title, their relationship to you, and what your most recent communications were so that you can better remember who you are talking to and what you were talking about.

Smarter Search Features
Searching contacts, emails, and other features of Outlook is easier with the latest update. Search features are now smarter in that they can go off of the first letter you type and retrieve your most frequent search requests starting with that letter. This speeds up searching and helps retrieve relevant information in seconds, not minutes.

People Section Enhancements
Outlook has also made some major improvements and enhancements to the ‘main people’ section of Outlook. You can now create smart lists of people based on common features. This will include your most frequently contacted people, groups based on job titles or departments, favorites, and those who need follow-up. These lists makes sending group emails to relevant contacts much simpler because you don’t have to scour all your contacts to find the right people.
