Businesses today are aware of the importance of regularly updating the different software they use to keep these running optimally and protected against cyberthreats. However, they often overlook the firmware of their computers and other devices. At best, firmware is only updated if there’s an issue with the hardware. But it’s actually a good idea to always keep firmware updated, and here’s why.

What is firmware?

Firmware is a basic type of software that is embedded into every hardware component in computers, computer peripherals (e.g., keyboards, mice), printers, mobile devices, and Internet of Things devices. It’s also found in some household appliances and gadgets such as TV remote controls, as well as everyday objects like traffic lights.

Essentially, firmware controls the device it’s installed on, sending instructions for how the device communicates with its different hardware components. It is only compatible with the make and model of the particular hardware it is installed on, and it cannot be uninstalled or deleted.

Why is updating firmware important?

According to Microsoft’s 2021 Security Signals report, firmware attacks are on the rise. These attacks involve injecting malware into computer systems to tamper with the firmware on motherboards or hardware drivers. From there, cybercriminals can do any number of things to the infected computers, including remotely controlling the devices, disabling the antivirus software, exfiltrating data, and blocking access to the devices and the data they contain.

Experts recommend installing firmware updates as soon as these become available to effectively protect against firmware attacks and other threats to your business’s cybersecurity. Users will also enjoy increased speed and enhanced performance with a firmware update.

How to install firmware updates

The method for updating firmware differs from device to device. For instance, you can simply download and install firmware updates on both iOS and Android devices. However, for devices such as routers, you will have to apply firmware updates from the manufacturer’s website or administrative console.

Keep in mind, however, that updating firmware can be tedious and time-consuming. In some cases, a firmware update can reset your devices and restore factory settings, causing you to lose custom configurations on your computers, routers, and the like. And if you fail to follow the manufacturer’s instructions to the letter, you risk damaging your systems.

Microsoft Word remains one of the most popular and user-friendly apps for business. It is compatible with both Windows and Mac and can be used to create a wide array of business documents. Edit simultaneously
You and your colleagues can now edit the same Word document at the same time. Just save yours in the cloud on OneDrive, click Share, then send the link to your colleagues. You’ll even be able to see them editing in real time.

Continue your work with Word Online
Don’t have the Word app on your computer, tablet, or smartphone? Go to word.office.com, sign in with your Microsoft account, and open Word Online, the browser version of Word. By clicking the blue Share button, your colleagues can access your document using Word Online or the Word app, which means anyone with the link and an internet connection can jump right in

Keep editorial control
With the Track Changes function, Word monitors all the edits that everyone makes to your document so you can go through the changes and accept or reject them accordingly.

To turn on Track Changes, click on the Review tab then select Track Changes. When reviewing a colleague’s edits, you have control to click on Accept or Reject as you see fit.

Format the easy way: Write first, format later
The Style Gallery in Word makes it easy to format your document, despite the huge number of font types, sizes, colors, and effects to choose from. After finishing writing and editing your document, click the Home tab and you will see the Style Gallery prominently on top. Select the appropriate Headings in the font, size, and color that you like, and change any other text in any way you like — just make sure you don’t make any changes to the actual content that’s already been edited!

Insert photos faster, more conveniently
No need to open your browser to look for photos for your document. Just place the cursor on the area where you intend to insert the photo, click on the Insert tab, select Online pictures (type “clip art” on the search box if that’s what you need), select a photo, then click Insert.

Edit a PDF file
Click on the File menu, select Open, and choose Browse. Highlight the PDF you want to edit, then click Open. Word will convert files to the new format using text recognition, so double-check if the conversion is correct. Make the appropriate changes, then click File, then Save As, then Browse. A “Save as type:” dropdown menu will appear at which point you will choose “PDF” then click Save.

Here are four of the latest features added to Office 365:

Real-time collaboration in PowerPoint

Users will now be able to share a PowerPoint deck and update documents with others in real time. This means you’ll be able to see edits as your colleagues make them. Microsoft was committed to expanding real-time co-authoring of a company’s native applications, with Microsoft Word already rolling out this feature beforehand. Currently, real-time collaboration is available for PowerPoint on Windows desktops for Office 365 subscribers in the Office Insider program and for PowerPoint Mobile on Windows tablets.

Move attachments to the cloud and share with colleagues in Outlook

According to Kirk Koenigsbauer, corporate vice president for the Office team, this feature allows users to transform a traditional document into a shared cloud document within Outlook. Previously, Outlook users could only attach cloud-based documents to an email, but this new feature makes it easier to send large files and to collaborate on those files with ease.

Users can upload files into their own OneDrive or a document library as part of an Office 365 group and then designate sharing permissions for the email recipients. The new feature is currently available in Outlook on the web as well as Outlook on Windows desktops for Office 365 subscribers.

Mobile notifications for changes to shared documents

With this new update, users will be notified when any cloud documents in Word, Excel and PowerPoint are being shared or edited. These notifications let you know when changes are being made, even if you are away from a particular document, so you’re always connected and know when you have to act. This feature can be integrated with the activity feed on Windows desktops, and help businesses improve user collaboration. Koenigsbauer says that Microsoft will continue working on the notification feature “to provide more detail and transparency around shared document activity in the future.” Sharing and editing notifications are available for Word, Excel, and PowerPoint users on Android and Windows Mobile for Office Insiders. This feature will be available for commercial users in all Office mobile applications in the coming months.

Find, open, and save documents in a Shared with Me and Recent Folders tab

Microsoft’s “Shared with Me” tab in Word, Excel, and PowerPoint makes it easier for enterprise users to find and open shared documents without having to leave the app you’re working in. At the moment, the Shared with Me tab is available on Windows desktops and Macs for all Office 365 subscribers, iOS and Android devices included. And soon, it will be available on Windows Mobile. And the “Recent Folders” tab — used to help quickly locate files as well — is now available in Word, Excel and PowerPoint on Windows desktops for Office 365 subscribers in the Office Insider program.
