Businesses today are aware of the importance of regularly updating the different software they use to keep these running optimally and protected against cyberthreats. However, they often overlook the firmware of their computers and other devices. At best, firmware is only updated if there’s an issue with the hardware. But it’s actually a good idea to always keep firmware updated, and here’s why.

What is firmware?

Firmware is a basic type of software that is embedded into every hardware component in computers, computer peripherals (e.g., keyboards, mice), printers, mobile devices, and Internet of Things devices. It’s also found in some household appliances and gadgets such as TV remote controls, as well as everyday objects like traffic lights.

Essentially, firmware controls the device it’s installed on, sending instructions for how the device communicates with its different hardware components. It is only compatible with the make and model of the particular hardware it is installed on, and it cannot be uninstalled or deleted.

Why is updating firmware important?

According to Microsoft’s 2021 Security Signals report, firmware attacks are on the rise. These attacks involve injecting malware into computer systems to tamper with the firmware on motherboards or hardware drivers. From there, cybercriminals can do any number of things to the infected computers, including remotely controlling the devices, disabling the antivirus software, exfiltrating data, and blocking access to the devices and the data they contain.

Experts recommend installing firmware updates as soon as these become available to effectively protect against firmware attacks and other threats to your business’s cybersecurity. Users will also enjoy increased speed and enhanced performance with a firmware update.

How to install firmware updates

The method for updating firmware differs from device to device. For instance, you can simply download and install firmware updates on both iOS and Android devices. However, for devices such as routers, you will have to apply firmware updates from the manufacturer’s website or administrative console.

Keep in mind, however, that updating firmware can be tedious and time-consuming. In some cases, a firmware update can reset your devices and restore factory settings, causing you to lose custom configurations on your computers, routers, and the like. And if you fail to follow the manufacturer’s instructions to the letter, you risk damaging your systems.

It’s therefore best to leave the installation of firmware updates to the experts. For more information about firmware security and how to safely install firmware updates, or for any questions related to business IT, give our specialists a call today.

It may be difficult to save energy when you use your PC every day. In fact, a complete desktop computer setup (i.e., one that includes an internet modem, a pair of loudspeakers, and a printer) that is on for eight hours a day consumes 600 kWh per year. But don’t worry, you can use the following tips to reduce your PC power consumption.

1. Unplug your computer when not in use

When you’re not using your computer, it’s best to shut it down and unplug it. This is because a plugged-in PC — even when switched off — still consumes standby power.

2. Disconnect external devices

When they’re connected to your PC, devices such as printers, headphones, and webcams consume power even when they’re not in use. This is why you should disconnect or remove external devices from your PC once you’re done using them.

3. Alternatively, use a smart strip, especially for computers you cannot turn off

A smart strip is a series of several electrical outlets in one strip, with circuits to monitor and maximize your gadgets’ power consumption. It can electronically unplug any device so that they stop drawing current, which saves energy. By connecting your PC and peripherals (e.g., printers, scanners) to the smart strip, you won’t need to unplug your equipment when you’re not using them.

4. Adjust your computer’s energy settings

Adjusting your PC’s power settings will help you consume less energy. For example, you can opt to put your hard drive and monitor into sleep mode when they’re left idle for a few minutes. Lowering the brightness of your screen also saves electricity.

5. Use a charger only when your laptop is charging

When we charge our laptops, we tend to forget about them, leaving them plugged in for hours. Unfortunately, overcharging degrades the battery over time. Leaving the charger plugged in — even if it’s not connected to your computer — also consumes standby power.

To save energy, make sure to unplug your laptop charger once you’re done charging. Alternatively, you can use a wall outlet with a timer or plug your charger into a smart strip.

6. Choose an Energy Star-compliant PC

Energy Star is the US Environmental Protection Agency’s symbol for energy efficiency. Every product that earns the Energy Star symbol is guaranteed to deliver both quality performance and energy savings. The more stars a product has, the more energy-efficient it is. Studies show that a single Energy Star-compliant computer and monitor can save between $7 and $52 per year in electricity bills.

These tips should help you lower your electricity costs and make smart hardware choices. If you need assistance in choosing the best hardware for your specific needs, give us a call. We’ll be glad to help.

A business projector can help make presentations more engaging, immersive, and enjoyable. It’s an especially useful tool for meetings, so it’s important that you have the right projector for your needs. If you’re looking for the best business projector to make your presentations truly stand out, here are some important factors you need to consider.

Brightness and light output

A projector cannot display bright images without enough light output. Even if you dim the lights in the room to compensate, images will appear muddy and blurred if the light output is too low.

To find out if a projector’s lamp has the correct brightness for your needs, look for its ANSI (American National Standards Institute) Lumen rating. It will tell you how much light that particular projector can put out. Projectors that have 1,000 ANSI lumens or more are relatively suitable for the job, but other factors like ambient light, the distance or size of the screen, and the size of the room will also impact the need for fewer or more lumens.

Connectivity options

Some projectors in the market are more affordable because they’re equipped with only VGA and USB ports to connect to a TV or computer. You may have to spend more money on a projector that has multiple connectivity options, such as Wi-Fi, Bluetooth, and HDMI inputs. If you want more flexibility, buy a projector that is compatible with various audio and video formats as well.

Front or rear projection

Many projectors can now be set up to project images from either the rear or the front of the screen, and can be mounted on the ceiling instead of just stationed on a table or flat surface. Front projection is the easiest to configure, and the most common setup for projectors.

Contrast ratio

This setting determines the variance between the darkest black and the brightest white, so the higher the contrast ratio, the clearer the images. Projectors with good contrast ratio figures will allow you to enhance the quality of text on screen and the depth of displayed images. For typical meeting rooms, the contrast ratio can range from 3000:1 to 20000:1. Any contrast higher than 20000:1 will intensify the presentation quality but bump up the price of the projector as well.

Resolution

Because high-resolution images and videos are so readily available these days, you may want your projector to have 1080p or full HD as a native resolution. But if you can afford the 4K models, you will have the capacity to show off a comprehensive data image on screen. The caveat here is that your resolution will depend on the specs of your source media player.

Regular maintenance and continuous monitoring are key to making sure your hardware runs optimally. These tasks usually fall on IT staff, but by following these tips, you can help your IT team prolong the life of your computer equipment.

✓ Clean your computer components

Wipe down monitors with a clean, static-free, non-abrasive fabric such as computer component-specific microfiber cloth. You can use the same type of cloth to wipe down mice and other peripherals, but for those tight nooks and crannies such as your keyboard surfaces, a can of compressed air will do the job.

Regular wipedowns are good because dust buildup can block computer air vents and affect their performance. Also ensure that your workstations are getting adequate ventilation and don’t get direct exposure to sunlight and other heat sources.

✓ Manage your cables

If you’re not giving your computers’ cables the attention they deserve, now’s a good time to do so. Aside from wiping the thick coat of dust off of computer cables, consider using cable management solutions that unclutter and untangle messy wires. Cable organizers don’t just organize and secure your cables, they also help ensure your PCs run quieter and are less prone to overheating as a result of blocked air vents.

Planning to relocate or upgrade in the near future? Organizing your computers’ cables now will make future relocation and upgrading processes much easier.

✓ Review and update your inventory

Keeping stock of all your hardware helps you manage hardware life cycles and purchases, identify items that are near their end of life, and ensure you avoid duplicate purchases of items already in stock.

Your inventory list should include all owned and leased devices: PCs and laptops, printers and scanners, tablets and smartphones, and modems and other network hardware. Update all your assets’ serial numbers and keep track of their respective users and location.

✓ Maintain your printers

Clean the interiors and exteriors of your printers, including paper trays, which are sure to have accumulated dirt from years of use. You should also repair and/or replace parts and accessories such as print heads and cartridges that are no longer in good condition. Should you decide to do a complete printer maintenance, check for the latest software updates for your printers and install them immediately.

✓ Implement a hardware policy

This is also a good time to create a technology guideline that your employees can follow to ensure they work efficiently. These guidelines reduce the need to spend on unnecessary repairs, keeping the succeeding year’s checklist shorter. With clear instructions on the proper use, replacement, and storage of your hardware and devices, you’ll be better able to manage your hardware for years to come.

With a more organized IT hardware inventory, you have one less thing to worry about. Want to get more in-depth hardware management advice? Call our experts today.

Nothing lasts forever — and that’s very true for your company’s servers. Purchasing new ones, however, isn’t your only option. Instead of buying new servers, you can leverage solutions that offer the same outcomes while saving you a lot of money.

When do my servers need to be replaced?

This is a difficult question, but there are two factors you will want to consider: age and performance. The useful life of a server is around three years. While it’s not unheard of for servers to function properly beyond year three, relying on them past this point can be risky, as hardware problems may occur more often. This means you will have to deal with costly repairs and possible sudden downtime.

In terms of performance, it doesn’t make sense to keep your servers around until year three if they are slow and too costly to maintain. It’s important to compare how much money you will lose in repairs and downtime versus the cost of buying new hardware.

Do I have an alternative to buying new servers?

Believe it or not, the answer to your server problems might not necessarily be purchasing more physical servers. One solution is to embrace server virtualization. This process allows your servers to be stored and maintained off-site, with all your resources being delivered to your office via the internet.

There are two notable benefits of virtualizing your servers. First, you don’t have to spend a ton of money on new equipment. Second, virtualization is a scalable technology, meaning you only pay for the data capacity you use. For instance, you can have just two and a half servers, if that’s all your business needs. This is in contrast to having physical equipment, which would require your business to either make do with two servers or splurge and buy a third one even if you didn’t need all of that space.

Of course, there are a few things you need to consider before making the switch to server virtualization. One of the biggest issues is security. Ask yourself if you feel comfortable keeping all of your data off-site. While this isn’t a concern for some companies, others may not see this as palatable. There are several workarounds to this issue, including the hybrid option where you keep sensitive data on-site and everything else off-site.

Can I do anything to prevent a full-scale server replacement?

Yes. It’s certainly possible for you to buy some time and give your current servers additional life, but these are short-term fixes, not long-term solutions. Server upgrades are a good place to start if your servers are less than three years old but are performing poorly. Installing additional CPUs or memory may increase server performance at a fraction of the cost of buying new servers.

It’s also possible to extend the life of servers that may have four or five years of wear-and-tear on them via repurposing. Instead of swapping out all of your servers, use the old ones for non-critical processes and purchase new ones to handle critical workloads. This will help you get a better ROI on your technology while avoiding a wholesale hardware purchase, which could cripple your budget.

If you have any questions about your servers and how you can increase their performance, get in touch with us today. We can help you procure new hardware or explore other alternatives such as server virtualization.

Isn’t it frustrating when the page you’re visiting takes an eternity to load? Oftentimes you blame the app or your phone, but did you ever consider that it’s your mobile data connection OR internet connection that’s the problem?

Wi-Fi noise

Did you know that home electronic appliances emit wireless signals at a frequency similar to your router’s (2.4 GHz)? So when deciding where to place your router, determine whether there are any electronic devices nearby, as they emit signals that can interfere with your router’s signal. For example, even if the ideal location for your router is in the middle of your house, you shouldn’t place it there if a cordless phone is nearby.

You can also set your router on a 5 GHz band, as this frequency is less prone to interference from other appliances. But before you start tuning it, make sure your phone supports 5 GHz; otherwise, it won’t be able to connect to the router.

Router location

One simple yet overlooked reason why your Wi-Fi-connected phone may be experiencing internet lag is because of your router’s location. Although Wi-Fi has a range of up to 230 feet, the signal gets weaker the farther you are from the router. Large objects like doors and walls situated in between your phone and the router can also weaken the transmission.

It’s recommended to place your router in a centralized location, preferably away from concrete and masonry walls or other big objects like a chimney. As the router signal radiates from all sides, blocking any side with big objects will impact your Wi-Fi’s signal quality, and consequently impede your phone’s internet speed.

Slow network

Another reason for your phone’s slow internet connection could be fluctuating network speeds. Ask yourself these two questions to discover the cause of this problem:

  1. How many devices are connected to the router?
  2. What are these devices using the internet for?

You should increase your router’s internet bandwidth speed if you discover you have many users and all of them are either streaming movies or downloading computer games or software updates. This will allow every phone connected to your network to enjoy faster internet speeds.

If you’re outdoors and connected to a public Wi-Fi network, consider using your mobile data instead. You won’t have to share your internet when you use mobile data, enabling you to experience faster connectivity at all times as long as you have a high-speed data plan.

Too much cache

Last, check your smartphone’s cache if fixing your router, network, and positioning doesn’t improve your device’s internet speed. Your phone’s cache saves data from earlier searches in order to display faster results of similar searches in the future. Although your phone becomes more efficient for that particular search, it also makes your phone much slower when you do other things that require the internet.

You can clear out your cache manually or use a cache cleaner app to get rid of useless cache and optimize your phone’s internet speed. If you decide to download a cache cleaner app, make sure that it is trustworthy so you don’t accidentally download a malware-infected program.

There are more reasons for your phone’s lagging internet speed. If your business relies heavily on a speedy mobile internet connection and you’re unable to fix the problem, call our experts today. We’re always ready to help you.

Consumers and businesses increasingly rely on powerful computers to run high-tech applications. But in the coming months, they may have issues obtaining the PCs they need. Since 2018, Intel has reported a processor shortage, which some experts believe may not be resolved until the latter half of 2019. Read on to learn more.

Reasons for the shortage
There are many contributors to Intel’s long-running chip production problems. For starters, demand for Intel computer chips has been higher than expected as more businesses depend on resource-intensive applications, cloud computing, and state-of-the-art machines to gain a competitive edge.

Additionally, there are major delays in the production of Intel’s next-gen 10-nanometer processors, largely because the company is short on capacity. This means businesses will not have access to PCs featuring these processors until much later in 2019.

Intel also appears to be prioritizing development of server CPUs, as they make up a huge portion of the company’s revenue. Focusing on server chips, however, has resulted in slower production rates of consumer-grade CPUs. Desktop CPU revenues, in particular, lagged significantly behind notebook and server CPUs, which resulted in the shortage of chips for desktop PCs.

What’s being done
Experts predict that customers will have had enough server CPUs so production for these productions will slow down by the second half of 2019, freeing up enough capacity to meet the demands for desktop and notebook CPUs. In fact, according to Intel’s interim chief executive Bob Swan, “We are working closely with our customers to align demand with available supply while we add capacity and we expect supply-demand balance to improve by mid-year.”

Intel also promises that PC shortage issues will be completely resolved by the third quarter of 2019. In the meantime, computer hardware manufacturers like Lenovo and Asus have their work cut out for them. To make up for the Intel chip shortage, PC manufacturers are strongly considering switching to AMD processors for desktops and laptops.

What does the shortage mean for businesses?
Businesses who are unable to acquire the newest Core, Celeron, and Pentium series processors for desktops and laptops may have to look for alternatives compatible with non-Intel chips. But if your company is running on a tight budget, it may make more sense to wait until late 2019 to upgrade to computers equipped with next-gen Intel processors.

Sticking with older hardware does leave your business exposed to security and downtime risks, so it’s important to stay on top of the latest updates and regular maintenance. Fortunately, a top-notch managed services provider can proactively manage your hardware for a reasonable monthly fee.

Laptops may be more affordable than ever, but we’re also using them for more advanced tasks than ever. This means you run the risk of overheating your laptop and causing long-term damage. Here’s how to avoid that.

Causes of overheating

Laptops create heat during their normal operation. That’s why they’re designed with internal fans that blow out hot air and suck in cooler air. When your laptop keeps shutting down or suffers serious slowdowns, chances are it’s overheating.

One of the most common causes of overheating is when the fan doesn’t operate normally. This may be due to dust and grime clogging up the fan, preventing it from rotating properly. It’s also possible that the air vents are being blocked, preventing air from flowing into the laptop.

Another thing to consider is the age of your laptop’s battery, which relies on lithium to store electricity. This chemical naturally decays over time, no matter how carefully you use it. The older the battery, the less efficient it is and the more heat it generates.

Software use can also contribute to overheating. Too many apps and programs running in the background can overwork your laptop.

What to do if it’s overheating

The first thing you should do is check your hardware. Turn your laptop off and inspect the vents and your fan for any dirt, grime, or other possible causes of blockage. Also check whether the fan itself is not physically dented, which can slow down its rotation.

Sometimes overheating is simply caused by bad habits. Do you use your laptops in bed or on the carpet? Do you use pillows as padding? Uneven or soft surfaces often block the air vents, leading to overheating. Always place your laptop on a hard, even surface.

Aside from the hardware, check your software. Are there a lot of apps and programs that start automatically when you switch on your laptop? If yes, then you may need to limit them.

Keeping it cool

To prevent your laptop from overheating, always make sure that there’s adequate airflow for your laptop. Better yet, invest in a cooling pad. These pads lift your laptop and add more fans to facilitate better airflow.

Limit the number of programs that run when you start your laptop. Change your settings to “power save.” And shut down your laptop whenever you’re not using it.

It’s easy to take laptops for granted because they’re billed as plug-and-play devices. However, with a little extra care and attention, your devices will last much longer. If you want to prolong the lifetime of your IT hardware, call our experts today.

Cryptocurrencies like Bitcoin and Monero are so popular because they’re secure and potentially worth thousands of dollars. But investors and consumers aren’t the only ones interested in them. Hackers are using malicious tactics to steal cryptocurrency, and they’re doing it with something called cryptojacking.

Hijacked hardware
Cryptojacking secretly uses your computer to calculate complex mathematical problems to generate cryptocurrency. They get inside by using phishing emails to lure victims into clicking on a link, which then runs malicious cryptomining programs on the computer. Any cryptocurrency produced then gets delivered to the hacker’s private server.

But hackers have developed an even more insidious tactic. By infecting websites with ads and plugins that run cryptojacking code, any visitor who loads the web page instantly gets infected with the malware, sending their computer’s processor into overdrive trying to generate cryptocurrency.

Unlike most malware, cryptojacking software won’t compromise your data. But it will hijack your hardware’s processing power, decreasing performance while increasing your power and cooling bills. So instead of paying for the computing power themselves, hackers can simply use thousands of compromised computers.

Surge in cryptojacking
It’s difficult to tell how much hackers are making with cryptojacking, but there’s a good chance that this type of attack will be as popular as ransomware was in 2017. In fact, for as little as $30, anyone can purchase a cryptojacking kit from the dark web to force other computers to generate Bitcoin or Monero for them.

According to several reports, even sites like The Pirate Bay, Openload, and OnlineVideoConverter are allegedly using cryptojacking exploits to diversify their revenue streams.

The biggest reason why this is becoming so popular is because it’s a low-risk, high-reward scheme. Instead of extorting money directly from the victim, hackers can secretly generate digital currencies without the victim knowing.

If it is detected, it’s also very hard to track down who initiated the attack. And since nothing was actually “stolen” (other than a portion of computing power), victims have little incentive to apprehend the culprit.

Prevention and response
To avoid cryptojacking, you need to incorporate it into your monthly security training sessions. Teach your employees to practice extra caution with unsolicited emails and suspicious links. Using ad-blocker or anti-cryptomining extensions on web browsers is also a great way to stay protected.

Beyond prevention, use network monitoring solutions to detect any unusual behavior with your computers. For example, if you notice a significant number of PCs running slower than usual, you should assume that cryptojacking is taking place.

If you’ve confirmed that it is, advise your staff to close browser tabs and update browser extensions as soon as possible.

Cryptojacking may seem less threatening than some malware we’ve discussed in the past, but it can incur real power, cooling, and performance costs to your business when several systems are compromised. To make sure you don’t end up enriching any hackers, call us today. We offer hardware solutions and cybersecurity tips to keep your business safe and sound.

It may not seem as though your printing infrastructure is costing your business a great deal. But if left unmanaged, you could end up with an overinflated IT budget dominated by equipment maintenance and hardware and supplies purchases. Here are some ways to avoid that.

Replace outdated printers

Outdated and cheap printers may be functional, but they are putting a huge dent in your IT budget.

Any piece of equipment that is seven years old (or older) requires frequent repairs and causes more trouble than it’s worth. Because old printers are no longer under warranty, fixing them is more costly and challenging. It’s also difficult to replace parts for old printers because manufacturers have stopped carrying them for models that have been phased out.

When you replace outdated equipment with newer, multi-functional printers, you’re investing in hardware that will pay for itself with increases in productivity and efficiency.

Avoid purchasing unnecessary supplies

A poorly managed printer environment could result in a stockpile of cartridges, toners, and reams of paper. This happens when, for example, an employee uses a printer that’s about to run out of ink and makes an unnecessary request for a new ink or toner. This is more common than you may think, and definitely more expensive.

In the absence of a dedicated printer manager, you can avoid this situation by automating supply replacement. Assign a point person to proactively place orders when supplies are about to run out, so your company can avoid needless purchases.

Impose strict process workflows

Submitting expense reports, filing reimbursements, and other administrative tasks require a proper document workflow. Without a guideline, employees and administrative staff tend to print an unnecessary amount of documents.

Automate your company’s document-driven processes to reduce or prevent redundant print jobs that result in stacks of abandoned documents. Not only is it wasteful, it’s also a security and privacy concern.

Go paperless

Designing a document management solution that reduces paper consumption is the best way to save money. It may not be possible in every department, but those who can do their jobs without printing should be encouraged to do so by management. Printing lengthy email chains that can be discussed in a meeting is just one example of a wasteful practice that should be avoided.

Reduce IT support calls for printing issues

Calling your company’s IT guys to assist with problems like paper jams, printer Wi-Fi issues, and other concerns reduces employee frustration. You and your IT personnel could avoid dealing with these productivity killers by identifying the problem areas of your print environment. Then, you can work on solutions specific to your office, such as drafting a printing workflow, or getting help from document management experts who can recommend time- and budget-saving solutions.

Having a group of experts manage your IT workflow can make your day-to-day operations more efficient and help you save on printing costs. Our experts will gladly recommend best practices and tips on document management. Call us today.
