Business email servers such as Microsoft Exchange often need infrastructure investments that may be beyond a small business’s budget. A good way to deal with this issue is by using hosted Exchange services.

What is Microsoft Exchange?

Microsoft Exchange is a messaging system that offers businesses a number of services, including email, calendaring, task management, and address lists. By integrating Exchange into your business, you can access all of these services from any location and on almost every device.

Many companies that purchase Exchange install it on their on-premises servers, which can be a bit expensive, especially for small businesses. Moreover, the server required to host it can take up space that a business may not have. This is why many companies prefer to operate on cloud-based systems.

What is hosted Exchange?

To make Exchange available to more businesses, many IT companies like Microsoft now offer hosted Exchange. In this setup, your IT provider allots a space on their servers where they install Microsoft Exchange and make it accessible only to your company over an internet connection. They are in charge of ensuring that the data stored is secure and accessible to you at all times. Many hosted Exchange providers will also offer extra features like improved security, full-time management, and data backup.

In other words, hosted Exchange is the cloud-based version of Microsoft Exchange managed by a host company or provider. You and your employees will still be able to access Exchange as if it were hosted in your office.

Benefits of hosted Exchange

Companies looking to integrate hosted Exchange into their business can enjoy the following benefits:

1. Predictable and lower costs

Like many other hosted services, the majority of hosted Exchange services are offered on a monthly, per-user basis, inclusive of maintenance and hosting. This makes costs predictable, as you’ll be paying a fixed fee every month.

Hosted Exchange also lowers overall costs. If a business were to calculate the cost of purchasing Microsoft Exchange and the infrastructure required to use it, plus maintenance fees, the total and per-user cost will likely add up quickly. For many small businesses, paying a monthly fee will be far less expensive than hosting a Microsoft Exchange solution in house. What’s more, you save money on maintenance overhead and future expenses.

2. Easier implementation

Implementing Microsoft Exchange in your office would require you to find space for the server. Once you install Exchange on this server, you’ll have to manage it and add new accounts and users. In case the service goes offline, you’ll have to fix it yourself. But with a hosted Exchange solution, your IT partner will take care of hosting, installation, and management, so you can focus on running your business.

3. Flexible solutions

Growing businesses may find it tough to scale up or down on an in-house Microsoft Exchange solution because of the server’s limited capacity. With hosted Exchange, scaling up or down is as easy as contacting your provider, who can ensure that space and resources are available. They can also help scale your solutions in case you move offices.

Getting a slew of ads on your computer screen while you’re working can be both distracting and annoying. If you’re using Windows 10 on your PC, laptop, or Surface Pro, you might have seen ads pop up in File Explorer and are not happy about it. Fortunately, there’s an easy way to get rid of these ads.

Why are users getting these ads?

Ads are being displayed in different parts of Windows 10 and not just on File Explorer — the Start menu, on the lock screen, from the taskbar, and in other Microsoft apps. Microsoft has been displaying ads that promote Office 365 and OneDrive since the Creators Update. Overwhelming negative reactions to this practice have been popping up online as a result.

However, the company doesn’t consider them ads but “suggestions.” These suggestions promote Microsoft products and services and third-party apps in the Windows Store. The tech giant may be doing users a favor by reminding them they can easily grab apps in the store that can benefit them. But to many, ads are more of a nuisance than a favor.

How do I turn off ads?

Fortunately, there’s a simple way to turn ads off. You could disable them right now by doing the following:

  1. Open File Explorer.
  2. Select View from the ribbon along the top of any File Explorer window.
  3. Click Options on the far right-hand side.
  4. From the drop down arrow below Options, select Change folder and search options.
  5. Once in the Folder options window, go to the View tab.
  6. In the Advanced Settings window pane, scroll down and deselect “Show sync provider notifications”.
  7. Click Apply and close the Folder Options window.

That’s all it takes! Keep in mind that we highly recommend the services Microsoft suggests. Office 365, OneDrive, and others are all great cloud platforms for easily and securely working and collaborating from any device in any location — but we understand that some don’t want to see these ads when they’re hunting down sales records.

If you’re looking for Windows tips and tricks, this is the best blog on the web. If you’re looking for something a little more advanced, however, our managed services are second to none. Get in touch with us today to learn more!

Servers can host almost every type of business program, with email being one of the most common. Businesses commonly install email servers on-site and use Microsoft Exchange as their software. But if you’re looking to save on infrastructure costs, consider hosted Exchange. Here’s what you need to know.

What is Microsoft Exchange?

Microsoft Exchange is a messaging system that offers businesses various services, such as email, calendar, task management, address lists, and more. By integrating Exchange into your business processes, you can access all of these services from any location, on almost any internet-connected device.

Many companies that purchase Exchange install it on on-premises servers. This setup can be costly, especially for small businesses. Moreover, the server needed to host it can take up a significant amount of physical space. This is why other companies prefer to operate on cloud-based systems.

What is hosted Exchange?

To meet the demands of various businesses, many IT services providers started offering hosted Exchange. In this setup, your IT provider allocates some space on one of their servers. They then install Microsoft Exchange in a space accessible only to your company, over an internet connection. The provider is in charge of ensuring that the data stored is secure and accessible to you at all times. Some hosted Exchange providers also offer extra features like improved security, full-time management, and data backup.

In other words, hosted Exchange is the cloud-based version of Microsoft Exchange. You and your employees will still be able to access hosted Exchange as if it were installed on an in-house server.

Benefits of hosted Exchange

Companies looking to integrate hosted Exchange into their business can enjoy the following benefits:

This makes costs predictable as you’ll be paying a fixed fee.Hosted Exchange also lowers overall costs. If you calculate the cost of purchasing a new server, Microsoft Exchange, and supporting infrastructure, plus maintenance fees, the total and per-user cost will add up quickly. For many small businesses, paying a fixed monthly fee will be far more cost-efficient than hosting a Microsoft Exchange solution in-house. What’s more, you save money on future expenses such as hardware replacements and new software licenses.
  2. Easier implementation
Implementing Microsoft Exchange in your office would require you to allocate physical space for the server and to install the server and Microsoft Exchange. On top of this, you also have to manage Exchange and add new accounts and users. In case the service goes offline, you’ll have to troubleshoot it yourself. But with a hosted Exchange solution, your IT partner will take care of hosting, management, and installation, so you can focus on more important business matters.
  3. Flexible solutions
Growing businesses may find it difficult to scale up or down on an in-house Microsoft Exchange solution due to the server’s limited capacity. With hosted Exchange, you can simply contact your provider whenever you need to adjust your server requirements. The hosted Exchange provider can also help scale your solutions in case you move offices.

Hard disk drive capacities are increasing exponentially over time, yet somehow they always seem to fill up. This rings even more true for solid-state drives, which cost more but offer less storage space than conventional mechanical hard disks. If you’re brushing against your PC’s maximum storage capacity, using Disk Cleanup should help you free up space by getting rid of unimportant files and programs cluttering up your hard drive.

What is Disk Cleanup?

Disk cleanup is a tool that scans your computer’s hard drive for files that you no longer use. These include temporary files, cached web pages, and deleted items stored in your system’s Recycle Bin. Unless you periodically purge these files, they accumulate over time and take up a lot of space on your PC.

Disk Cleanup categorizes the identified files as well as the amount of storage space that each category occupies within your hard drive. From these items, you decide which ones to delete according to their importance to you and the amount of storage space that you’ll be able to recover.

How to use Disk Cleanup

In Windows 10, you can access Disk Cleanup by going to the Start menu and scrolling to Windows Administrative Tools.

Once opened, this tool automatically selects Drive C (though you can switch to other drives) and shows a list of file locations containing files that can be removed.

Each file location has a corresponding checkbox that needs to be selected in order to delete the files it contains. Upon clicking a file location, a description of the files it contains will appear at the bottom of the window so that you’ll know exactly the types of files you’ll be removing.

When Disk Cleanup is finished, you’ll need to restart your system to remove unnecessary Windows Update files. Remember, the Disk Cleanup tool only removes Update files that are no longer needed, hence usually very few are deleted.

The benefits of Disk Cleanup

Using the Disk Cleanup tool can help improve your computer’s performance by:

  • Maximizing your drive’s memory – The ultimate benefits of cleaning up your disk are maximized computer storage space, increased speed, and improved functionality. These enable you to use your device to run at peak performance levels.
  • Making your computer more reliable – Some programs that are downloaded through the internet may be infected with viruses that can decrease your computer’s reliability. The Disk Cleanup tool can clean your computer and rid it of unwanted programs as well.
  • Saving time and increasing efficiency – The traditional way of opening folders to find and delete old files may be sufficient for some, but not for those who prioritize productivity. Although files can be deleted manually, Disk Cleanup can do this much faster.

The Disk Cleanup tool is as simple to launch and operate as any basic program. If you are looking to further improve the speed of your systems or are interested in other tech solutions, contact us today to learn more.

Microsoft’s software offerings are filled with features that allow and even augment enterprise work from home (WFH) setups without sacrificing security. Here are some updates about the company’s applications, as well as other common third-party applications in the Windows and Office ecosystems, which will ensure data security when you’re working remotely.

Before the pandemic broke out, companies across the United States had already been on the lookout for remote work possibilities, because of the flexibility and cost-effectiveness of the cloud. Back then, the technology was used to take advantage of market and location opportunities, but with entire cities going on lockdown to stem the transmission velocity of the coronavirus, enterprises across the continent have turned to digital solutions for their respective workforces to remain productive at home.

Microsoft’s Windows and Office 365 engineers have geared both sets of software to be user-friendly across different platforms — and by extension, many Windows-ready third-party applications enjoy the same benefit. For many organizations, especially small- to medium-sized businesses (SMBs), this means no need to switch to a more remote-friendly system. But because of the suddenness of the transition, there are questions whether Windows, Office, and other supported software have ample security features in place.

Windows 10 1709

Microsoft announced in mid-March that Windows 10 version 1709 (Fall Creators Update) will remain supported for six more months, in anticipation of the socioeconomic effects of the COVID-19 pandemic. The tech giant also stated that vital updates will continue for version 1709 through its regular channels, namely Windows Update, Windows Server Update Services (WSUS), and the Microsoft Update Catalog.

Through the service coverage extension, Windows 10 version 1709 can still be managed through all supported versions of Microsoft Configuration Manager. This will allow users to retain existing management workflows until October 30, 2020.

Remote-ready setups

Virtual private networks (VPNs) and Remote Desktop Protocol (RDP) connections are necessities for work from home setups, but this has left many IT managers worried about security risks. Experts have suggested deploying a trial version of Windows Server 2016 or 2019 as a workaround. This server software has remote desktop services that are bundled with remote desktop gateway (RDG) and RDWeb technologies, ensuring encrypted remote access.

Microsoft has also published optimization instructions for Office 365 users to properly implement VPN split tunneling for their remote work setups. Routing Office 365 applications — such as Teams, SharePoint Online, and Exchange Online — through a split VPN tunnel ensures that the most critical, high-volume Office 365 traffic is quickly patched through to the company server, and not left at risk of loss that stems from the common customer-performance and network capacity issues many enterprise-level clients report.

Other practical tips for WFH

Remote performance depends largely on home internet performance, so that matter boils down to the reliability and speed of your employees’ internet providers’ services. Your staff can take steps to limit their bandwidth loads, such as by not using video streaming services while working, cutting down the recording quality of home security cameras from HD to standard definition, and allowing office IT to remotely optimize the personal devices your employees intend to use for remote work.

Lastly, consulting with your IT partner will surely put you in a better position to cope with the demands of remote work. Managed IT services providers (MSPs) like us are regular remote access practitioners. We handle remote services on a daily basis and provide you with valuable insights on how to keep your business running smoothly through these trying times. Contact us today to learn more.

Google Chrome currently marks HTTPS-encrypted sites with a green lock icon and “Secure” sign. And starting in July, Chrome will mark all HTTP sites as “not secure.” Google hopes this move will nudge users away from the unencrypted web. Read on to learn more about the forthcoming changes.

For several years, Google has moved toward a more secure web by strongly advocating that sites adopt the Secure HyperText Transfer Protocol (HTTPS) encryption. And last year, Google began marking some HyperText Transfer Protocol (HTTP) pages as “not secure” to help users comprehend risks of unencrypted websites. Beginning in July 2018 with the release of a Chrome update, Google’s browser will mark all HTTP sites as “not secure.”

Chrome’s move was mostly brought on by increased HTTPS adoption. Eighty-one of the top 100 sites on the web default to HTTPS, and the majority of Chrome traffic is already encrypted.

Here’s how the transition to security has progressed, so far:

  • Over 68% of Chrome traffic on both Android and Windows is now protected
  • Over 78% of Chrome traffic on both Chrome OS and Mac is now protected
  • 81 of the top 100 sites on the web use HTTPS by default

HTTPS: The benefits and difference

What’s the difference between HTTP and HTTPS? With HTTP, information you type into a website is transmitted to the site’s owner with almost zero protection along the journey. Essentially, HTTP can establish basic web connections, but not much else.

When security is a must, HTTPS sends and receives encrypted internet data. This means that it uses a mathematical algorithm to make data unreadable to unauthorized parties.

#1 HTTPS protects a site’s integrity

HTTPS encryption protects the channel between your browser and the website you’re visiting, ensuring no one can tamper with the traffic or spy on what you’re doing.

Without encryption, someone with access to your router or internet service provider (ISP) could intercept (or hack) information sent to websites or inject malware into otherwise legitimate pages.

#2 HTTPS protects the privacy of your users

HTTPS prevents intruders from eavesdropping on communications between websites and their visitors. One common misconception about HTTPS is that only websites that handle sensitive communications need it. In reality, every unprotected HTTP request can reveal information about the behaviors and identities of users.

#3 HTTPS is the future of the web

HTTPS has become much easier to implement thanks to services that automate the conversion process, such as Let’s Encrypt and Google’s Lighthouse program. These tools make it easier for website owners to adopt HTTPS.

Chrome’s new notifications will help users understand that HTTP sites are less secure, and move the web toward a secure HTTPS web by default. HTTPS is easier to adopt than ever before, and it unlocks both performance improvements and powerful new features that aren’t possible with HTTP.

Lately, Microsoft has given some love to Outlook — not just the desktop app, but also the web and app versions. In fact, they just released a bunch of new and improved features. Let’s take a look.

#1 RSVP
Outlook makes it fairly simple to invite people to a meeting, but now it will also keep tabs on who’s coming. Just click the new “Tracking” option under “Meeting Occurrence” and see who has committed to the meeting and who hasn’t. RSVP isn’t just available for the meeting organizer, but the attendees, too.

#2 Multiple time zones
Traveling internationally and trying to sync appointments on different continents? Not fun. But now you can set up event start times and end times across different zones.

Outlook now allows you to show multiple time zones – three within Windows, and one within Outlook for Mac. In Outlook for Windows, add one by clicking File > Options > Calendar Time Zones and clicking “Show a second time zone”. In Mac, add one additional time zone under Outlook > Preferences > Calendar Time Zones. For Outlook on the web, click the “Time Zone” drop-down arrow in your Calendar meeting invite to add an additional time zone.

#3 BCC warning
If you’re on the receiving end of a blind carbon copy (bcc) email, that means the other recipients didn’t know you were copied on it. In Outlook for Windows, you’ll now get an alert if you attempt to reply to that message, such as “You were bcc’d, so perhaps you should reply only to the sender?” That way you’ll remain anonymous.

#4 Office Lens for Android
If you use Outlook for Android, the app will integrate the Microsoft Office Lens feature.
When that happens, you can tap the photo icon while composing a message, then take a snapshot of a whiteboard, document, photo or the like. Outlook will optimize it and then embed it into the email.

#5 Bill-pay reminders
What about your bills? Outlook will identify them in your inbox, show you a summary card at the top of your email each day, send an email to remind you two days before the due date, and automatically add an event to your calendar so you don’t forget to pay on the actual day.

If you want to learn more about these new and improved features, with more on the way, just call us today for a quick chat with one of our Microsoft Office experts.

With evolving technology comes evolving threats. Recently, a researcher revealed that a new type of scam freezes Google Chrome and tricks users into believing that their network security has been compromised. Little did they know that following instructions listed on the screen will lead to an actual security breach.

The End Game

The scam works by displaying an error message indicating a bogus security breach incident that renders a browser unusable. These scammers capitalize on the fact that a serious crash can’t be solved by simply closing the site, thereby sending the users into a panic. This encourages them to dial the number listed on the warning message.

On the other end of the line, the scammers would pose as Microsoft or Apple representatives to convince users into surrendering their credit card details to repair a non-existing security issue. The scams are generally carried out through legitimate sites or malicious ads that have been hacked.

The Ingenious Process

This new scam operates against Chrome by corrupting the window.navigator.msSaveOrOpenBlob programming interface, which basically uses it as a form of distraction. The hackers manipulate the browser and forces it to save a random document on a disk repeatedly at super fast intervals that are impossible to notice. After five to 10 seconds, Chrome will be completely unresponsive.

The Easy Fix

To recover, Windows users simply have to open Windows Task Manager (press ctrl + shift + esc keys) and stop the process there. On the other hand, macOS users just need to wait until a system message prompts them to close the unresponsive Chrome tab. Typically, the latter is a more appealing option since users would have the freedom to close only the corrupted page. Manually closing the whole browser means possibly losing unsaved files in any open Windows.

When faced with IT-related issues, you need to determine how you can approach them calmly. The threats in the digital world may be terrifying and intimidating, but causing a panic in your workplace isn’t the answer. Call us as soon as any problems arise, and we’ll help you as soon as we can. We can even hook you up with other security measures to beef up your network security.
