Security, ease of use, and free service are just some of the main reasons why many businesses use Gmail. But despite the email service’s ubiquity, there are still plenty of ways for users to improve their Gmail experience. Gain better control over your inbox — and your workday — with these tricks.

Undo Send

In the fast-paced world of business, mistakes happen. And because everybody deserves a second chance at writing that email, Gmail has provided a way to recall sent emails — as long as you do it immediately after hitting Send.

To rescind your email, simply click on Undo or View Message > Undo beside the “Message Sent” prompt at the bottom left of your screen.

Gmail templates

Gmail templates, formerly known as canned responses, are pre-written email formats that you can use as is or as the starting point of a fresh email. These are great for regular messages that follow a specific template. Instead of writing the same lines of text over and over again, you can simply choose any of the customizable templates with a few clicks.

Make sure the feature is enabled by clicking on the gear icon at the top-right corner of the screen and then See all settings. Go to the Advanced tab, and select Enable in the Templates section before clicking the Save Changes button at the bottom.

Once this feature is enabled, you can access your Gmail templates by composing a new email and clicking Templates > Insert Template.

Send large attachments with Google Drive

Need to send a high-resolution RAW image to a client but Gmail’s attachment size restrictions won’t let you? You can simply upload your files to Google Drive and click on Share to get a sharing link you can send to your client or your boss.

Alternatively, you can click on the Google Drive icon at the bottom of your email composition window and choose the files you wish to send.

Turn on Priority Inbox

The Priority Inbox feature organizes your messages by importance using machine learning. You’ll be able to divide your inbox into five categories, where the messages will be displayed in the following order:

  1. Important and unread messages
  2. Starred messages
  3. [Customizable category]
  4. [Customizable category]
  5. Everything else

Enable advanced settings

Configuring Gmail’s Advanced Settings is an excellent way to increase email efficiency. Some of these features include Multiple Inboxes, Preview Pane, and custom keyboard shortcuts. Access them by going to Settings > See all settings > Advanced.

Spending the right amount of time with emails while managing other crucial business areas is a balancing act many business owners find difficult. If you have questions or need further assistance regarding Gmail or IT in general, feel free to contact us.

Cybercriminals are always on the lookout for ways to steal information, so you should seek to beef up your data protection. One such way is with biometric authentication on mobile devices.

Authenticate your profile on your mobile device

Chrome OS, Windows, MacOS, Linux, and Android are all adding features to help users safely log in using biometric identification via USB, Bluetooth, and NFC devices connected to smartphones and tablets. With such convenience, users can verify their accounts on the go.

iOS users already enjoy either TouchID (fingerprint scanning) or FaceID (facial recognition) authentication, depending on their specific device. Android users can also use biometrics to protect their data, as most new Android devices have fingerprint scanners that make use of a secure storage protocol called Trusted Execution Environment.

Prevent cyberattacks with browser-based biometrics

Passwords are notoriously bad at protecting users’ accounts and the information they store. Thankfully, facial scans, fingerprints, and voice recognition make it exponentially harder for hackers to commit identity theft. That means you’re also less likely to be duped by an email from a hacker pretending to be your boss asking for the company credit card’s details.

The concept behind this protection is the practice of two-factor (2FA) or multifactor authentication (MFA). This means that access to private information requires two or more stages of authentication, instead of just one. And because biometric authentication is an active authentication attempt by the user, it makes unauthorized access much more difficult to attempt.

Enjoy more secure online transactions

Biometric verification will also retire the need for logging in your information when shopping online, streaming videos, using cloud applications, and other internet-based transactions. Windows 10 has already adopted features that offer limited account management with fingerprints and facial scans. Another example is Samsung Pay, which turns smartphones into digital wallets that are protected by fingerprint or iris scans.

Browser-based biometrics is starting to revolutionize and streamline the steps in verifying online accounts. It promises to add more security and ease in logging in and transacting on the internet.

To keep up with the latest and greatest in browser-related innovations your company can benefit from, give us a call now.

Google Chrome currently marks HTTPS-encrypted sites with a green lock icon and “Secure” sign. And starting in July, Chrome will mark all HTTP sites as “not secure.” Google hopes this move will nudge users away from the unencrypted web. Read on to learn more about the forthcoming changes.

For several years, Google has moved toward a more secure web by strongly advocating that sites adopt the Secure HyperText Transfer Protocol (HTTPS) encryption. And last year, Google began marking some HyperText Transfer Protocol (HTTP) pages as “not secure” to help users comprehend risks of unencrypted websites. Beginning in July 2018 with the release of a Chrome update, Google’s browser will mark all HTTP sites as “not secure.”

Chrome’s move was mostly brought on by increased HTTPS adoption. Eighty-one of the top 100 sites on the web default to HTTPS, and the majority of Chrome traffic is already encrypted.

Here’s how the transition to security has progressed, so far:

  • Over 68% of Chrome traffic on both Android and Windows is now protected
  • Over 78% of Chrome traffic on both Chrome OS and Mac is now protected
  • 81 of the top 100 sites on the web use HTTPS by default

HTTPS: The benefits and difference

What’s the difference between HTTP and HTTPS? With HTTP, information you type into a website is transmitted to the site’s owner with almost zero protection along the journey. Essentially, HTTP can establish basic web connections, but not much else.

When security is a must, HTTPS sends and receives encrypted internet data. This means that it uses a mathematical algorithm to make data unreadable to unauthorized parties.

#1 HTTPS protects a site’s integrity

HTTPS encryption protects the channel between your browser and the website you’re visiting, ensuring no one can tamper with the traffic or spy on what you’re doing.

Without encryption, someone with access to your router or internet service provider (ISP) could intercept (or hack) information sent to websites or inject malware into otherwise legitimate pages.

#2 HTTPS protects the privacy of your users

HTTPS prevents intruders from eavesdropping on communications between websites and their visitors. One common misconception about HTTPS is that only websites that handle sensitive communications need it. In reality, every unprotected HTTP request can reveal information about the behaviors and identities of users.

#3 HTTPS is the future of the web

HTTPS has become much easier to implement thanks to services that automate the conversion process, such as Let’s Encrypt and Google’s Lighthouse program. These tools make it easier for website owners to adopt HTTPS.

Chrome’s new notifications will help users understand that HTTP sites are less secure, and move the web toward a secure HTTPS web by default. HTTPS is easier to adopt than ever before, and it unlocks both performance improvements and powerful new features that aren’t possible with HTTP.

How can small-business owners implement and take advantage of this new interface? Call today for a quick chat with one of our experts to get started.

With evolving technology comes evolving threats. Recently, a researcher revealed that a new type of scam freezes Google Chrome and tricks users into believing that their network security has been compromised. Little did they know that following instructions listed on the screen will lead to an actual security breach.

The End Game

The scam works by displaying an error message indicating a bogus security breach incident that renders a browser unusable. These scammers capitalize on the fact that a serious crash can’t be solved by simply closing the site, thereby sending the users into a panic. This encourages them to dial the number listed on the warning message.

On the other end of the line, the scammers would pose as Microsoft or Apple representatives to convince users into surrendering their credit card details to repair a non-existing security issue. The scams are generally carried out through legitimate sites or malicious ads that have been hacked.

The Ingenious Process

This new scam operates against Chrome by corrupting the window.navigator.msSaveOrOpenBlob programming interface, which basically uses it as a form of distraction. The hackers manipulate the browser and forces it to save a random document on a disk repeatedly at super fast intervals that are impossible to notice. After five to 10 seconds, Chrome will be completely unresponsive.

The Easy Fix

To recover, Windows users simply have to open Windows Task Manager (press ctrl + shift + esc keys) and stop the process there. On the other hand, macOS users just need to wait until a system message prompts them to close the unresponsive Chrome tab. Typically, the latter is a more appealing option since users would have the freedom to close only the corrupted page. Manually closing the whole browser means possibly losing unsaved files in any open Windows.

When faced with IT-related issues, you need to determine how you can approach them calmly. The threats in the digital world may be terrifying and intimidating, but causing a panic in your workplace isn’t the answer. Call us as soon as any problems arise, and we’ll help you as soon as we can. We can even hook you up with other security measures to beef up your network security.

Pop-up ads and videos can easily turn people away from a website. Google knows this and has come up with a solution set to launch early next year. With that in mind, here’s everything you need to know about Chrome’s ad blocker.

What is it?

Ad blocker from Chrome actually works like an ad filter, meaning it won’t block all ads from the website, only ones that are determined to be too intrusive, like video autoplay with sound as well as interstitials that take up the entire screen.

A group called the Coalition for Better Ads, which consists of Google, Facebook, News Corp, The Washington Post, and other members will decide whether or not the ads are to be blocked. According to Sridhar Ramaswamy, the executive in charge of Google’s ads, even ads owned or served by Google will be blocked if they don’t meet the new guidelines.

How will it work?

From a consumer’s end, you won’t have to do anything except for updating your Chrome browser. For publishers, Google will provide a tool that you can run to find out if your site’s ads are violating the guidelines. The blocker will apply to both desktop and mobile experiences.

What are the benefits of Chrome ad blocker?

Bad ads slow down the web, make it annoying to browse, and drive consumers to install ad blockers that remove all advertisements. If that continues, publishers will face major obstacles since nearly all websites rely on ads to stay alive.

With Chrome’s ad blocker, wholesale ad blocking can be controlled to please both consumers and publishers. Users get a better web browsing experience and publishers can continue to make profits through online ad sales.

But isn’t Google already using third-party ad-blocking extensions?

Yes, but this means they have to pay third-party ad blockers — like Adblock Plus — a certain amount of fee to whitelist ads for the privilege of working around their filters. With their own ad blocker, this can be eliminated once and for all.

Are there potential drawbacks?

It’s undeniable that Chrome’s ad blocker gives Google lots of power to determine ad standards for everyone. It comes to no surprise that there are skeptics who don’t trust one company to act in everyone’s interest.

And while Google assures that even its own ads will be removed if they violate the rules, the fact that Google itself is an ad company with nearly 89 percent of its revenues coming from online ads doesn’t boost its credibility to industry peers.

Publishers will have fewer options to monetize their sites once Chrome’s ad blocker is implemented. To help, Google will include an option for visitors to pay websites that they’re blocking ads on called Funding Choices. However, a similar feature called Google Contributor has been tested a couple years ago with no signs of catching on so we doubt that Funding Choices will differ.

Despite expected criticism, Chrome’s ad blocker will likely result in a better web browsing experience. And as always, if you have any questions about the web, or IT in general, just give us a call and we’ll be happy to help.

Apple’s iOS 11 will be released later this year, but many Android users might not willingly trade in their device for an iPhone. Even with its key productivity features like Files, drag-and-drop functionality, a more enterprise-friendly user interface, and sleek new design changes, the latest version of Apple’s mobile operating system is missing a few important tools that many Android users can’t live without.

Multiple profiles

Android devices allow users to create multiple user profiles — ideal for company devices shared among staff. This feature is also great for privacy because it lets users create an individual profile and password, so there’s no need to worry about important files and apps in the device being compromised. This feature is something iOS 11 should have included since multiple user functionality is commonly found in desktops environments, which is what it is trying to emulate.

Customization

In the upcoming iOS 11 release, iPad users can expect improvements in design. What they shouldn’t expect to find are features that will enable customizations much beyond personalizing their home screen wallpaper. Adjusting the color settings, fonts, and themes are capabilities Android device users have been enjoying for years, but Apple users will have to wait for later iOS releases to enjoy the same.

Screen search

In an Android device, tapping the “What’s on my screen?” button in Google Assistant lets a user search for info on whatever’s “on-screen.” It returns results pertaining to whatever the user is looking at on his or her screen and is useful for those who need comprehensive search results. By contrast, iOS’s search function, called Spotlight, allows instant web searches only on highlighted text.

Local photo deletion

Android’s “Free up space” capability lets users back up photos in the cloud and easily delete local files stored in the device with just one tap. On the other hand, iOS offers a convenient way to sync photos and videos to iCloud, and its Optimize iPhone Storage function is great for users with low-storage devices. Even though this is enhanced for iOS 11, it still doesn’t save as much storage space as Android’s Photos app.

Other features

The iOS 11’s “Do Not Disturb While Driving” mode detects whether the user is driving, which stops the device from sending notifications in order to avoid distractions. It’s a welcome addition, but it’s a weak counterpart to Android’s “Do Not Disturb” function, which is far more robust. Another feature that won’t be found in iOS 11 is a “Clear All” button, which closes all open apps at once.

Even with a handful of nifty features in the iOS 11, those who enjoy Android’s customizability and unique features likely won’t switch. However, the iOS 11’s focus on enterprise usability might be attractive for some non-Apple users.

Businesses need simple yet functional devices that work. If you need expert advice on device features and usability, get in touch with us today.

170px-01The good news? Google will be rolling out more features for Android 7.0 Nougat and Marshmallow devices earlier than expected! The bad news? Google hasn’t yet confirmed which devices are eligible for the latest upgrades. In the meantime, here are four prominent features you should be keeping your eyes on:

Quick Switch
What this feature allows you to do is to quickly jump between the two most recently used apps with a double-tap on the Overview button. (That’s the square icon located to the right of the three virtual navigation buttons at the bottom of the display.)

Multi-Window
After ensuring the application’s compatibility, simply long-press the square Overview button to shrink the app to fill half the screen. This feature allows you to easily run two apps side-by-side on your smartphone or tablet.

Better battery
First introduced with Marshmallow, Doze is a power-saving tool that prevents your apps from sending or receiving data without disabling your mobile data. It gets a boost in Android 7.0 Nougat. Doze utilizes sensors to detect when the device is idle — even when it’s being moved around — and lowers power consumption.

Data Saver
After activating this function from the notification dropdown, Data Saver mode reduces cellular data used by applications. It does so by blocking background data usage, limiting bit rate for streaming, reducing image quality, just to name a few.

Enhanced encryption
In Android Nougat, each file and folder saved on the device is individually encrypted and protected as opposed to being encrypted as a whole, like previous versions of the mobile operating system were.

The latest tech innovations might succeed in enticing consumers, but it’s usually the operating system that seals the deal. This is merely a preview of Android 7.0 Nougat’s capabilities. By no means does this list detail all the awesome functions that await Android users. If you’re interested in getting the latest updates or would like to have your Android-related questions answered, just give us a call!

2016october4_webandcloud_aFor businesses of any size, getting on the first page of Google search results is important to drive traffic to the website. Although most search engine optimizers will focus more on getting organic results, the limitation of this approach is that it only reaches users looking for a particular service and not your specific brand. For those looking for tips on how to advertise services as well as brand identity, we have a few tricks.

One of the ways you can improve your branded search visibility is by ensuring your brand name is mentioned multiple times throughout your site. Make sure to link the brand name to the homepage of your website, include the brand name in descriptions of the company, and add meta descriptions to the site.

Because Google’s site indexing service is completely automated, just about anyone should be listed in the results. The goal isn’t getting listed, it’s getting listed first. Little things like placing your sitemap in an easy-to-find location, including descriptive titles, and always filling out meta descriptions to increase the chances of your brand links appearing on the search pages.

Social media may technically be a different story, but it works hand-in-hand in today’s search engine optimization efforts. These pages are very likely to be listed when customers are making ‘brand’ searches. Make sure you maintain profiles at every “big” social media site, and add as much information as you can concerning your brand identity. Because the ultimate goal is to drive traffic to your site, link to your website in every field that allows it.

Lastly, Google business reviews are more important in getting branded search results than most people realize. Claim your business on Google My Business and frequently encourage your top customers to leave positive reviews concerning your brand. The more positive reviews your website has, the higher your site will appear in the rankings.

SEO is important for business, but so is creating a brand identity. An intersection of these goals may seem difficult, but not impossible. For more information on SEO, branded search results and anything related to your Google search rankings, get in touch with us today.

2016June6_AndroidPhone_AGoogle has announced another batch of features coming to your Android phone, possibly as soon as next month. Although some of the items are simple and subtle integrations and others are far more grandiose, they’re all going to drastically improve the performance of your phone. Since some people view their mobile device as something akin to an extension of their body, let’s take an in-depth look at the new things you’ll be able to do.

Split Screen

The most visible and exciting feature is Android’s new ‘split-screen’ functionality. Soon you will be able to enter your ‘overview’ mode (the button that shows all of your open apps in a rolodex style queue), click and hold on an app like YouTube and drag it to the top of your screen where it will dock. The bottom half of your screen will remain in ‘overview’ mode, allowing you to select an app to occupy the bottom half of the screen. With this update, sending an email while YouTube is open won’t cause any interruption in either of the two programs. It’s the same as having two monitors, just on a much smaller scale.

Because phone manufacturers get to layer their own components on top of Google’s core Android operating system, Samsung and LG already have a few ‘split-screen’ devices. However, by integrating this item into every Android phone regardless of manufacturer, app developers will have more incentive to optimize their product for this feature or even develop new apps designed entirely around this functionality.

Fast App Switching

Do you ever find yourself switching back and forth between two apps? Maybe you need to write an email on your phone, while using a web page as reference material. Switching between the two can really slow down the flow of your work, and Google has finally addressed this by improving the ‘overview’ interface. In addition to limiting the number of displayed programs and adding a ‘clear all’ button, Android mobile devices will get ‘fast app switching’. With this feature a simple double tap of your ‘overview’ button will switch to the last program you used. After switching to the previous app, you can double tap again to return to the original app. It’s simple, but goes a long way.

Updated Notification Window

Next up is a small change to the native notification window. At the moment, if one app has multiple notifications they all get grouped into one vague ‘card’ in your notification window. I/O announced that in the future users will be able to tap on one of those cards to expand it for more detail. Instead of just seeing that you have six emails from various users, you’ll be able to see more information and access response actions for each individual notification within apps.

Instant Apps

How many times have you installed an app that you didn’t want, but needed for a one-time use? Whether it’s to purchase tickets, gain access to a promotion or receive something from a friend who uses the app, it can be a lengthy and tedious process. With ‘Instant Apps’ Android will give you the option to temporarily load software, similar to a webpage, so you can access the service without actually downloading the unnecessary app. Google promises this will take mere seconds compared to the time it currently takes to download and install full programs before using them.

Some tech writers have cited ‘Instant Apps’ as actually faster than loading a website, with all of the security and safety of an app. Additionally, while the 3 features before this one will be released for phones with the most recent OS update, Google is making ‘Instant Apps’ available to developers for any phone running anything newer than the Jellybean OS.

In general, Android phones offer a lot more customization and developer-specific options when compared to Apple’s mobile devices. However, that can mean a lot more upkeep as well. If you’re having trouble maintaining your Android device’s peak capacity or need help managing their updates, don’t hesitate to call us.
