Voice over Internet Protocol (VoIP) services are taking over communications in the digital age, making office landlines a thing of the past. More companies are starting to deploy VoIP because it is reliable and cost-effective. But before you get your own VoIP system, you should consider several factors.

How much control over your network do you need?

There are several ways to implement VoIP technologies, with managed VoIP and hosted VoIP being two of the most preferred setups.

Managed VoIP means that your company is in charge of managing and maintaining an on-site VoIP system. While initial costs are generally greater due to hardware and maintenance fees, a managed VoIP system provides your business with more versatility and control over your network.

On the other hand, with hosted VoIP systems, you leave the cost of new hardware and the maintenance of the telecommunications network entirely to a third party. This also frees your company from the burden of having to monitor and update your own telecommunications technologies. For many small businesses, a hosted VoIP option is the more attractive choice since they only pay for the services they use, and initial fees tend to be lower.

Do you want to be more technically involved?

Deciding between a managed and a hosted VoIP system depends on your preferred level of involvement in the management and maintenance of your VoIP setup. Generally, companies with limited IT knowledge choose hosted VoIP, while those who have more resources to customize their own telecommunications networks prefer a managed on-site VoIP setup.

Have you considered mobile VoIP systems?

With VoIP systems, telephony is no longer bound to a specific phone network. Modern employees now have a multitude of communication tools to choose from, all of which can be accessed securely from anywhere, at any time. Choosing VoIP systems that offer mobile integration can allow your workers to join video conference calls and answer direct calls even when they are working from home.

Does your business intend to expand?

When choosing the right VoIP system, you have to make sure that the service provider can complement your company’s plans for growth. With so many mobile devices being developed, selecting a VoIP service that is compatible with the latest technologies can keep you ahead of the game.

Cloud-based solutions make scaling up easy, as your service provider will constantly update your telecommunications network for you. This means you never have to worry about your technology falling behind in functionality.

Did you check your internet connection?

Regardless of which VoIP provider you choose, a strong and stable internet connection is necessary to support your communications network. Before purchasing from a specific provider, you should find out if your company has a dedicated broadband or leased lines. While leased lines offer improved voice quality, opting for dedicated broadband services offer higher internet speeds.

How much does it cost?

To have an accurate estimate of how much VoIP will cost you, check the cost of the hardware and the installation of the service. Then, look at the provider’s fees for managing, updating, and maintaining your telecommunications system.

Also, make sure that a VoIP provider’s services meet your company’s communication needs. If the provider is offering a bundle of services that your company doesn’t need, then choose a different provider.

While picking and deploying a VoIP system can seem like daunting tasks, there’s no denying that VoIP technology brings in a host of business benefits. If you are planning to install a VoIP system, consider these factors to ensure you make the right decision. And of course, if you’re looking for a provider, our experts are happy to help you in any way possible.

The COVID-19 pandemic has pushed businesses to adopt remote work setups. But with the sudden move, employees are finding out that they don’t have adequate resources to work from home, specifically due to poor or limited internet access. So that you don’t encounter the same issue, find out how much internet bandwidth you need to work from home.

What is bandwidth?

Bandwidth refers to the maximum data transfer rate possible in a network or internet connection. It indicates the amount of data that can be sent over a connection in a given amount of time, and is usually expressed in bits per second (bps) or bytes per second (Bps).

Imagine two computers with the same internet speed at 100 megabit per second (Mbps): the first computer only has a 50 Mbps bandwidth, while the second one has 100 Mbps. If they were to download the same 500 Megabit (Mb) file, the first computer would be able to do it in 10 seconds, while the second one could do it in just five.

This is because the first computer’s bandwidth is capped at 50 Mbps — even if the internet was fast, the limit of transfer would still be low. Therefore, the higher the bandwidth, the more data can be sent over a connection, contributing to faster uploads and downloads, and overall better internet experience.

How much bandwidth do you need for remote working?

The answer to this question isn’t clear cut. The biggest considerations are the type of work that you do and the apps that you use. If your job mostly consists of sending emails, editing and writing on Google Docs, and communicating on Slack, then you can do your job with ease even with a low bandwidth. On the other hand, if you frequently attend meetings through video calls, then you’d definitely need a plan with higher bandwidth.

Once you have a clear picture of how much data you send and receive on an average work day, you can start looking for plans that can support your needs. And while you definitely don’t need to conduct virtual meetings in 4K quality, you also won’t want your clients and colleagues to appear pixelated during a meeting. Neither would you want a session that gets choppy or cut off mid-conversation.

Here are the minimum requirements for the most common video chat apps used by remote workers today:

For 1:1 video calling:

    • 600 Kbps (up/down) for high-quality video
    • 1.2 Mbps (up/down) for 720p HD video
    • Receiving 1080p HD video requires 1.8 Mbps (up/down)
    • Sending 1080p HD video requires 1.8 Mbps (up/down)

For group video calling:

    • 800 Kbps/1.0 Mbps (up/down) for high-quality video
    • For 720p HD video: 1.5 Mbps (up/down)
    • Receiving 1080p HD video requires 2.5 Mbps (up/down)
    • Sending 1080p HD video requires 3.0 Mbps (up/down)

HD video quality

    • Outbound signals must always meet a 3.2 Mbps bandwidth requirement.
    • Inbound signals: 2.6 Mbps with two participants; 3.2 Mbps with five participants; and 4.0 Mbps with 10 participants

Standard definition (SD) video quality

    • Outbound signals must always meet a 1 Mbps bandwidth requirement.
    • Inbound signals: 1 Mbps with two participants; 1.5 Mbps with five participants; and 2 Mbps with 10 participants

Video calling

    • HD: 1.2 Mbps (up/down)
    • SD: 400 Kbps (up/down)
    • The more participants, the higher the bandwidth requirement for downloads: 512 Kbps for three participants; 2 Mbps for five participants; and 4 Mbps for seven people. Upload requirements remain constant at 128 Kbps.

Teams requires the same upload and download internet bandwidth for the following scenarios:

      • 30 Kbps for peer-to-peer audio calling
      • 1.2 Mbps for peer-to-peer HD-quality video calling at 720p
      • 1.5 Mbps for peer-to-peer HD-quality video calling at 1080p
      • 500 Kbps/1 Mbps for group video calling

If you’re worried about your internet bandwidth, you can opt for audio calls instead of video calls. This considerably helps lower the information you need to upload and download. For more tips and solutions on how you can work from home without a hitch, call us. We’d be happy to help.

Top-notch care is no longer the sole criterion patients have for choosing which healthcare facility to go to. They now also look for the convenience that online scheduling delivers.

Even if the use of smartphones, tablets, and other internet-connected devices has already permeated society, many healthcare facilities have trouble keeping up with the times. But those that have kept up with tech trends have seen an uptick in both the number of patients they take in and the quality of care they are able to provide, while facilities relying on the old ways continue to remain stagnant in both areas.

Online scheduling is one of the simplest and most popular technologies used by forward-thinking health clinics and hospitals. It allows patients to see when a doctor is available and schedule an appointment on your website. Practices that use online scheduling are able to reap the following benefits.

More potential new patients

Today, people are less inclined to make phone calls, especially if it involves ringing up someone they don’t know. For many people looking for a new doctor or specialist, they will simply keep looking for one that has online scheduling to avoid calling.

More time for your staff, better care for your patients

Think about how much time your staff spend each day answering phone calls from people making an appointment. It’s probably a lot if you have a busy practice. Online scheduling lessens phone time required so that your staff can better focus and care for patients at your facility. As a result, patients will feel truly cared for and will more likely return to the healthcare facility in the future.

Setting appointments beyond clinic hours

In the past, patients had to wait for the clinic to open just to make an appointment. With online scheduling, patients can simply log in to your website and see when you are available so they can plan their schedule accordingly around their visit.

Still unsure whether you need online scheduling?

Sure, you probably can get away with not having it at the moment, but eventually, most patients will expect this technology from you. And the sooner you roll out online scheduling, the sooner your staff will get the hang of it, and the sooner your patients can enjoy its benefits.

Need help setting up online scheduling for your practice? Talk to our IT experts today and we’ll make sure this technology will make things easier for your patients.

Although the occasional three-minute YouTube video never hurts anyone, wasting hours of your working day on these websites reduces productivity. When it comes to increasing employee productivity, keeping a close eye on their internet behavior reaps various benefits.

Time-saving measures

Internet monitoring software saves employees from visiting entertainment, gaming, or online shopping sites by restricting access to them. Internet monitoring software doesn’t necessarily block access to social media sites, but it lets your employees know that you’re monitoring their internet activity. This is aimed at discouraging them from taking prolonged visits to their Facebook, Twitter or Instagram page.

Avoid harmful websites

The internet hosts plenty of unsavory links and websites. Employees who haphazardly click phishing links or access malware-ridden pornography sites can put your business at risk. Working with infected machines can slow down the entire system and, in some cases, completely halt operations. By using internet monitoring tools, you can restrict access to dangerous websites and identify reckless employees who access them and remove their internet privileges, if necessary.

Control bandwidth usage

Even while using the internet for the right purposes, bandwidth can be used up quickly. Internet monitoring gives you up-to-the-minute reports on staff’s bandwidth usage. Once you have a clear understanding of your company’s overall bandwidth usage, you can better control internet expenditure. Ultimately, this feature allows you to prioritize bandwidth for critical business applications and reduce bandwidth for less necessary websites.

Increase productivity on the internet

Internet monitoring software may be a powerful tool, but it should be used responsibly. As a business owner, you need to walk a fine line between over-surveillance and under-surveillance. What you should do is establish a clear internet policy, which should explicitly define the disciplinary measures to be dispensed on anybody who goes against the company’s internet policy. You should also deal with time-wasting employees on a case-by-case basis because it’s unreasonable to remove everyone’s Facebook privileges because one or two abused theirs.

Employee productivity can be difficult to achieve, especially with the proliferation of the so-called “procrastination software.” But with web monitoring software, you can truly get your business — and your employees — back on track. Looking for more ways to increase business productivity with technology? Give us a call. We’ll be happy to make suggestions.

Employees are one of your biggest security holes. There is no foolproof prevention method for human error, which is why employee mistakes are one of the most common causes of a security breach. To reduce potential risks, we’ve suggested a few IT policies you should implement to protect your business.

Internet

In today’s business world, employees spend a lot of time on the internet. To ensure they’re not putting your business at risk, you need a clear set of web policies. This must limit internet use for business purposes only, prohibit unauthorized downloads, and restrict access to personal emails on company devices. You can also include recommended browsing practices and policies for using business devices on public wifi.

Email

Just like the Internet policy mentioned above, company email accounts should only be utilized for business use. That means your employees should never use it to send personal files, forward links, or perform any type of business-related activities outside their specific job role. Additionally, consider implementing a standard email signature for all employees. This not only creates brand cohesion on all outgoing emails, but also makes it easy to identify messages from other employees, thus preventing spear phishing.

Passwords

We’ve all heard the importance of a strong password time and time again. And this same principle should also apply to your employees. The reason is rather simple. Many employees will create the easiest to crack passwords for their business accounts. After all, if your organization gets hacked, it’s not their money or business at stake. So to encourage employees to create strong passwords, your policy should instruct them to include special characters, uppercase and lowercase letters, and numbers in their passwords.

Data

Whether or not you allow your employees to conduct work on their own devices, such as a smartphone or tablet, it is important to have a bring your own device (BYOD) policy. If your employees aren’t aware of your stance on BYOD, some are sure to assume they can conduct work-related tasks on their personal laptop or tablet. So have a BYOD policy and put it in the employee handbook. In addition to this, make sure to explain that data on any workstation is business property. This means employees aren’t allowed to remove or copy it without your authorization.

We hope these four policies shed some light on the industry’s best security practices. If you’d like more tips or are interested in a security audit of your business, give us a call.

2016Feb9_Security_AMost business owners have an employee handbook. But when it comes to the online security of their business, often times this portion is either not adequately addressed, or not addressed at all. However, with cyber crimes an ever increasing threat, and the fact that employee error is one of the most common causes of a security breach, it is incredibly vital that your staff is informed of your policies. Here are four policies that every business owner should share with their employees.

Internet

In today’s business world, employees spend a lot of time on the Internet. To ensure they’re not putting your business at risk, you need a clear set of web policies. Here are three important ones to keep in mind:

  1. Employees should be using the Internet for business purposes only. While this is undoubtedly hard to avoid without blocking specific websites, having a policy in place should at least cut back on employees spending time on non-business related sites.
  2. Prohibit unauthorized downloads. This includes everything from music to games, and even data or applications.
  3. Accessing personal email should not be done on business devices. If employees must access their own email account during the day, they can do so on their smartphone or other personal device.

These are just a few Internet policies to get started, but you should also consider including information on your recommended browsing practices and your policies for using business devices (such as company phones) on public wifi.

Email

Just like with the Internet policy mentioned above, company email accounts should only be utilized for business use. That means your employees should never use it to send personal files, forward links or perform any type of business-related activities outside of their specific job role. Additionally, consider implementing a standard email signature for all employees. This not only creates brand cohesion on all outgoing emails, but also makes it easy to identify messages from other employees, and hence helps prevents spear phishing.

Passwords

We’ve all heard the importance of a strong password time and time again. And this same principle should also apply to your employees. The reason is rather simple. Many employees will create the easiest to crack passwords for their business accounts. After all, if your organization gets hacked, it’s not their money or business at stake. Whether or not you allow your employees to conduct work on their own device, such as a smartphone or tablet, it is important to have a bring your own device (BYOD) policy. If your employees aren’t aware of your stance on BYOD, some are sure to assume they can conduct work related tasks on their personal laptop or tablet. So have a BYOD policy and put it in the employee handbook. In addition to this, make sure to explain that data on any workstation is business property. That means employees aren’t allowed to remove or copy it without your authorization.

We hope these four policies have shed some light on best security practices. If you’d like more tips or are interested in a security audit of your business, do get in touch.

2016Feb8_AndroidPhone_AMost of us know that apps can drain battery and slow down your phone. But what if there was a single app that was sucking 20% of your battery, and potentially slowing its speed by 15%. For Android phone users, this looks to be the case. And unfortunately for all those social medial lovers out there, the app responsible goes by the name of Facebook.

The flaw with the Facebook app was first reported by a tech writer, Russell Holly, from androidcentral.com. Here’s what he had to say about it…

“Recently I noticed some performance issues on multiple phones, and had started paying closer attention to what exactly was causing these problems. When Facebook turned out to be one of the more egregious resource hogs, I uninstalled it to see how things improved…Not only did my performance issues go away entirely, but I discovered I didn’t actually lose any of the Facebook features I cared about by uninstalling the app.”

Russell Holly, however, is not the only one who’s noticed a difference in Android performance after uninstalling Facebook. Since his finding, there have been numerous reports from tech writers and Android users across the globe. Furthermore, some users have also noticed a 15% boost in speed once they uninstalled Facebook and the Messenger app.

Alternative methods to get your Facebook fill

As one of the Android’s most popular apps, whether or not to install or uninstall Facebook can be a tough decision. However, the battery benefits are so big that it’s worth exploring alternate methods to get your Facebook fill. One is to simply uninstall Facebook and keep the Messenger app. This will not give you the full 20/15% boost, but will provide a noticeable difference in both speed and battery life. Alternatively, you can also access Facebook via Google Chrome or your other Internet browser. By doing this, you can still use most of the same Facebook features (with the exceptions of a few such as location-based functionality and Instant Articles, among others) and still get the max boost to your battery and speed.

As for Facebook, this isn’t the first time the app has been accused of slowing down a phone. Last October, the app was found to drastically drain the iPhone’s battery as well. Facebook promised to work on correcting that issue, and have a similar response to this, “We have heard reports of some people experiencing speed issues stemming from our Android app…We are looking into this and will keep [users] posted. We are committed to continuing to improve these issues.”

So while you’re pondering whether or not to uninstall Facebook on your phone, feel free to shoot us any of your other Android questions or concerns. We are happy to help resolve any of your Android or other IT related issues.
